Job description

POSITION OBJECTIVE

Working with a high degree of independence in the Technical Services Department at the Kelvin Smith Library (KSL), this Library Assistant 5 position collaborates across all departments in the library to develop policies, procedures, and workflows related to all aspects of serials management and copy cataloging for the department. The position is responsible for receiving, managing, maintaining, and processing serials and journals in a variety of formats. This position is responsible for coordinating, processing, and copy cataloging all materials acquired by the library in all formats. This position also provides support for our Electronic Resources Librarian with troubleshooting and management of our e‑resources.

ESSENTIAL FUNCTIONS
  • Manage the receipt and check-in of library materials in the library system, and process invoices. Set expectation dates and adjust orders when needed in relation to publication pattern and numbering changes. (20%)
  • Develop and execute workflows and perform complex copy cataloging for all physical materials, including physical processing. Manages all copy cataloging projects for the team. (15%)
  • Collaborate with other library departments to coordinate and oversee the shipment of library materials to and from the bindery. (10%)
  • Analyze, evaluate, and compile usage statistics of online library resources to develop complex reports to inform future purchasing and renewal decisions. (8%)
  • Coordinate and implement workflows for the identification of a wide variety of ordered library materials from several vendors and publishers. Generate lists of issues and problem‑solve discrepancies in shipments to make claims of missing materials to vendors and publishers. (8%)
  • Identify and solve complex bibliographic problems to maintain the integrity and consistent online access of the collections, including space assessment for print issues. (8%)
  • Provide support for all aspects of e‑resource troubleshooting and management to ensure consistent functionality and user access. (8%)
  • Hire, schedule, and supervise student workers and prepare annual performance evaluations. (8%)
  • Cultivate a work environment that promotes and maintains an environment and culture of empathy, collaboration, and respect. (6%)
NONESSENTIAL FUNCTIONS
  • Assist the Technical Services team with special projects on an as‑needed basis. (5%)
  • Work closely with other team members and KSL staff to foster collaborative initiatives. (2%)
  • Perform other duties as assigned. (2%)
CONTACTS

Department: Work daily with the department to coordinate copy cataloging, processing workflows, and electronic resources support. (66+%)

University: Moderate contact with technical services staff at campus and affiliate libraries to ensure standardized policies in shared catalog. (16‑30%)

External: Occasional contact with vendors to resolve missing issues and claiming. (6‑15%)

Student: Daily contact with student workers to supervise their work. (66+%)

SUPERVISORY RESPONSIBILITIES

Will monitor the performance of student employees and assist with the direct training of students. Expected to provide feedback to students in collaboration with other staff.

QUALIFICATIONS

Experience/Education: High school education and 6 years of relevant experience or a Bachelor's degree and 1 to 3 years of experience.

REQUIRED SKILLS
  • Ability to handle details and multiple projects in an organized manner.
  • Willingness to assume responsibility.
  • Attention to very detailed work regarding bibliographic data and publishing information.
  • Computer skills, including word processing, required. Familiarity with Google Apps, preferred. Working knowledge of spreadsheet applications or any statistical applications.
  • Ability to learn in detail a wide variety of constantly evolving policies concerning information resources at Case Western Reserve University libraries.
  • Demonstrated knowledge of integrated library systems and library catalogs and working with MARC records.
  • Demonstrated knowledge of OCLC Connexion and WorldCat.
  • Ability to exercise good judgment in situations that warrant individual interpretation of basic law library policies and procedures.
  • Ability to effectively collaborate with other staff members to achieve optimum service levels.
  • Ability to perform routine tasks independently and under intermediate supervision.
  • Ability to meet consistent attendance.
  • Demonstrated history of successful support, education, and advocacy for all students, aligned with the values, mission, and messaging of the university, while adhering to the staff policy on conflict of commitment and interest.
  • Ability to interact with colleagues, supervisors, and customers face-to-face.
  • Willingness to learn and utilize Artificial Intelligence (AI).
  • Ability to cultivate an environment of empathy, collaboration, and respect
  • Customer service experience is highly desirable.
  • Supervisory experience is desirable.
WORKING CONDITIONS

General office/library environment. The employee will perform repetitive motion using computer equipment. Must be flexible to an adjusted work schedule to accommodate changes in operation hours. May occasionally be asked to work overtime. This position is hybrid eligible, subject to change based on the needs of the department and approval at the discretion of the supervisor.
