Weintraub Tobin is seeking a full-time, experienced transactional Legal Secretary to join the Corporate Practice Group in our Sacramento office. The ideal candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities in a fast-paced environment while delivering high-quality work and exceptional client service.

A hybrid arrangement may be available after 90 days, with four days in the office and one day remote.

Qualifications

  • Minimum 5 years of legal secretarial experience.
  • Experience supporting senior attorneys or firm leadership preferred.
  • Knowledge of corporate transactions and due diligence.

Responsibilities

  • Provide high-level secretarial support to corporate attorneys including the Firm’s President.
  • Monitor deadlines, prioritize assignments, and anticipate attorney needs to ensure timely work.
  • Represent attorneys professionally by communicating with clients and other contacts, following up on delegated assignments, and exercising sound judgment.
  • Assist with corporate transactions and due diligence, including organizing diligence materials and coordinating circulation, execution, and return of documents.
  • Prepare, format, proofread, and edit correspondence, legal documents, and presentations with high accuracy.
  • Manage attorney calendars, meetings, travel arrangements, and day-to-day administrative needs.
  • Prepare expense reports, enter attorney time, and review pre-bills for accuracy.
  • Complete conflict check forms and new matter requests.
  • Maintain client matter files and documents within iManage.
  • Answer and screen calls; manage attorney email and fax communications.
  • Process incoming and outgoing mail and coordinate special deliveries.
  • Photocopy, scan, assemble, and distribute documents as required.
  • Collaborate with attorneys and staff to meet deadlines and provide cross-coverage.

THE OPPORTUNITY

Weintraub Tobin is seeking a full-time (40 hours per week), experienced transactional Legal Secretary to join the Corporate Practice Group in our Sacramento office. The ideal candidate is highly organized, detail-oriented, dependable, and able to manage multiple priorities in a fast-paced legal environment while delivering high-quality work and exceptional client service. This is a high-trust role requiring sound judgment, professionalism, discretion, and the ability to support senior attorneys and partners effectively.

A hybrid arrangement may be available after 90 days, with four (4) days in the office and one (1) day remote.

RESPONSIBILITIES
  • Provide high-level secretarial support to a team of corporate attorneys, including the Firm’s President
  • Monitor deadlines, prioritize assignments, and proactively anticipate attorney needs to ensure timely and efficient completion of work
  • Represent attorneys professionally by communicating with clients and other contacts, obtaining and conveying information, following up on delegated assignments, and exercising sound judgment regarding matters requiring attorney attention
  • Assist with corporate transactions and due diligence, including organizing diligence materials, tracking requests, maintaining checklists, and coordinating the circulation, execution, and return of legal documents and closing materials
  • Prepare, format, proofread, and edit correspondence, legal documents, presentations, and other materials with exceptional accuracy and attention to detail
  • Manage attorney calendars, meetings, conference calls, travel arrangements, correspondence, and other day-to-day administrative needs
  • Prepare expense reports, enter attorney time, and review and edit pre-bills for accuracy
  • Complete and submit conflict check forms and new matter requests
  • Maintain accurate and organized client matter files and documents within iManage
  • Answer and screen telephone calls and manage attorney email and facsimile communications, as needed
  • Process incoming and outgoing mail and coordinate special delivery services in accordance with office procedures
  • Photocopy, scan, assemble, and distribute documents and other materials as required
  • Collaborate with attorneys, paralegals, and administrative professionals to meet deadlines, support projects, and provide cross-coverage, including assisting other legal secretaries as needed
Requirements
SKILLS & ABILITIES
  • 5+ years of legal secretarial experience supporting corporate attorneys
  • Prior experience supporting senior attorneys, partners, or firm leadership strongly preferred
  • Familiarity with corporate transactions, due diligence, and legal document management
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)
  • Typing speed of at least 50 WPM
  • Solid drafting, proofreading, and formatting skills for complex legal documents
  • Experience with document management systems, time entry, billing, and other standard legal technology
  • Ability to work independently, exercise sound judgment, and anticipate needs
  • Superior attention to detail and a high degree of accuracy
  • Strong analytical, organizational, and problem-solving skills
  • Strong written and verbal communication skills with a client-focused demeanor
  • Ability to manage multiple priorities, work effectively under pressure, and consistently meet deadlines
  • Self-motivated with ability to work independently and collaboratively as part of a team
  • Reliable attendance, flexibility, and the ability to thrive in a fast-paced environment

Salary range: $82,000-$95,000 (based upon years of experience)
