Job summary

Sony Music Publishing is seeking a detail‑oriented Legal Assistant to support a fast‑paced attorney team handling commercial and entertainment agreements. You will manage contract intake, approvals, and post‑execution tasks while maintaining organized matter files and trackers.

This role requires discretion and strong communication in a corporate environment. Ideal candidates have 3–5 years of admin/legal support experience, proficiency with MS 365 tools (Excel, Word, Lists), and familiarity

Qualifications

  • 3–5 years of administrative or legal support experience in a corporate or in-house setting.
  • Proficient with Microsoft 365 (Excel, Word, Lists) and project tools; experience with DocuSign and Power Platform preferred.
  • Highly organized, detail-oriented, capable of handling confidential information with discretion.
  • Strong written and verbal communication; ability to work independently and meet deadlines.

Responsibilities

  • Provide legal workflow support for contract intake, matter tracking and approvals.
  • Coordinate preparation of summaries, memoranda, and execution documents with attorney direction.
  • Manage execution packages, signatures, and post-execution handoffs to relevant teams.
  • Maintain trackers, files, templates, checklists, and process improvement ideas.
  • Support attorney calendars, travel, and expense processing; route inquiries to appropriate team.

Job Purpose

The Legal Assistant provides comprehensive administrative and legal workflow support to the attorney team handling commercial and entertainment agreements and related legal matters. The ideal candidate is a detail-oriented, proactive professional who thrives in a fast-paced environment and handles confidential information with discretion, integrity, and professionalism. This role requires strong organizational skills, sound judgment, the ability to manage multiple priorities, and a commitment to delivering excellent service to internal stakeholders and external partners.

What You’ll Do
Legal Matter Support
  • Support contract intake, monitor assigned matters, and promptly follow up or escrow missing information, stalled items, and approaching deadlines.
  • Coordinate the collection of contextual information, supporting documents, and approvals from internal stakeholders.
  • Receive and route routine reviews and legal notices (e.g., Certificates of Insurance, visa support documentation, letters of direction, termination notices) to applicable specialists and track through completion.
  • Prepare agreement summaries, deal summaries, approval memoranda, and other routine documents using attorney instructions and approved templates; proofread and finalize materials for attorney review.
  • Prepare clean execution copies and signature packages, confirming all documents, exhibits, and approvals are complete and properly organized.
Approvals, Execution, and Post-Execution Coordination
  • Circulate deal approval memoranda to appropriate stakeholders and proactively follow up on outstanding approvals.
  • Coordinate agreement execution through DocuSign or other approved processes, including routing signature packages, monitoring status, and escalating delays.
  • Distribute fully executed agreements and related materials; update matter records and confirm documents are properly stored.
  • Coordinate post-execution activities, including initiating payment requests and supporting smooth handoffs to contract administration, finance, and business teams.
Tracking, Records, and Workflow Management
  • Maintain trackers and matter-management tools for agreements, approvals, execution status, and renewals; provide clear status updates to attorneys.
  • Maintain organized legal files in accordance with department naming, filing, and storage practices.
  • Assist with maintaining templates, checklists, and intake forms.
  • Identify recurring administrative or workflow issues and suggest practical improvements.
Attorney Support
  • Manage calendars and coordinate meetings and training sessions, including scheduling, materials preparation, and follow-up.
  • Arrange domestic and international travel, including flights, hotels, ground transportation, and itineraries.
  • Prepare and process expense reports and reimbursements.
  • Triage incoming requests, gather necessary context, and route to the appropriate attorney or contact.
  • Provide general administrative support, including handling correspondence, ordering supplies, and supporting special projects.
Who You Are
  • 3-5 years of experience providing administrative or legal support in a corporate/In house counsel legal department, law firm, or professional services environment.
  • Tech savvy, skilled with intermediate to advanced expertise using the M365 suite (especially Excel, Word, and Lists); hands-on experience with project management tools (e.g., JIRA) and e-signature platforms (e.g., DocuSign), and a drive to master new systems; experience with Power Platform preferred.
  • Highly organized, detail-oriented, and able to manage multiple priorities, work independently, collaborate effectively, meet deadlines, and follow matters through completion.
  • Proactive and service-oriented, with sound judgment and clear written and verbal communication skills.
  • Able to handle confidential and sensitive information with discretion and professionalism.
  • Best-in-class service approach with the ability to interact in a positive and professional manner with all levels of employees, including senior management, songwriters, managers, and attorneys.
  • Comfortable working collaboratively and providing a high level of support to direct supervisors.
  • High emotional intelligence and the ability to maintain composure in high-stress situations.
  • Strong sense of urgency and responsiveness.
  • Must be a fast learner and agile, able to adapt quickly to changing priorities and new systems.
  • Consistently demonstrates advanced problem-solving skills, exercises sound judgment, and makes independent decisions.
  • Strong follow-up skills and the ability to independently track and follow through on action items.
  • Ability to work standard 37.5 hours weekly, plus overtime if needed.
  • Must be authorized to work in the United States.

DISCLAIMER

The anticipated annual basesalaryfor this position is:

$52,800.00-$75,400.00

This range does not include any other compensation components or other benefits that an individual may be eligible for. The actual basesalaryoffered depends on a variety of factors, which may include as applicable, the qualifications of the individual applicant for the position, years of relevant experience, specific and unique skills, level of education attained, certifications or other professional licenses held, and the location in which the applicant lives and/or from which they will be performing the job.
