Legal Assistant

Employment Type: Full-Time, Entry Level

Department: Legal

As a CGS Legal Assistant, you will work under the direction of a Supervisory Paralegal or Project Supervisor, providing litigation and administrative support to a group of United States Attorneys. The role requires a blend of legal knowledge, drafting expertise, and administrative acumen in a fast‑paced environment.

Skills and Attributes for Success
  • Receive and review incoming material; independently determine the need for assembly and preparation of legal documents such as charging instruments, motions, orders, pleadings, deposition notices, trial subpoenas, and grand jury subpoenas.
  • Proofread and edit drafts of legal documents, including motions, orders, correspondence, discovery requests and responses, and other pleadings, ensuring compliance with rules of style and formatting.
  • Electronically file documents on behalf of attorneys with the appropriate state or federal court, applying knowledge of local court rules and practices.
  • Provide assistance with trial preparation by compiling trial notebooks, witness lists, and exhibit lists.
  • Prepare and track grand jury subpoenas and returns; aid in processing and organizing legal data and supporting materials.
  • Compose original letters that require knowledge of legal procedures and specialized terminology, such as transmittals, requests for extensions, advisories, and notices to opposing counsel.
  • Perform docketing duties using the automated case tracking system, including opening, updating, and closing cases and searching databases for required information.
  • Obligate funds for litigation expenses and monitor for continued necessity.
  • Review bills and invoices and submit them to the budget office for payment.
  • Maintain calendars for active cases; track filing, hearing, and trial dates; schedule conferences and interviews; develop and maintain suspense systems; and provide reminders of court appearances.
  • Assemble physical and electronic files for new cases, file materials in chronological order, prepare conflict of interest sheets, and number discovery documents.
  • Prepare closing files, ensuring all relevant documents are included and produce a closing sheet for attorney signature.
  • Receive visitors, answer telephone calls, deliver and retrieve papers from the federal courthouse, and provide requested information on pending and closed matters.
  • Attend meetings and trainings as required.
  • Produce written documents using MS Word, MS Excel, MS Outlook, MS Access, Adobe Acrobat, and other databases, incorporating tables, charts, and graphs into technical reports or courtroom presentations.
  • Provide automated litigation assistance, including transcribing dictation, preparing visual materials for trials, and delivering technical support such as enlarging charts or duplicating tapes and videos.
  • Perform other related duties as assigned.
Qualifications
  • At least one year of specialized litigation experience required; over three years preferred.
  • Specialized experience includes reviewing legal documents for completeness, assembling information for hearings and trials, researching legal sources, maintaining file systems, and using automated software to produce reports and correspondence.
  • Excellent written and oral communication skills.
  • Hands‑on familiarity with MS Word, MS Excel, MS Outlook, and Adobe Acrobat.
  • Ability to deliver high‑quality work under extreme pressure.
  • Ability to obtain a Public Trust Security Clearance.
