General Summary

The Lead Specialized Inventory Technician is responsible for the operational oversight of the receipt and stocking of pharmaceuticals within the pharmacy department. The Lead also serves as the organizational accountable individual for the Food and Drug Administration’s (FDA) Drug Supply Chain Security Act (DSCSA) and is the primary trainer of other Specialized Inventory Technicians.

Responsibilities
  • Performs all duties of the Specialized Inventory Technician: a. Receiving duties including assuring orders received correctly (in accordance with packing slip and purchase order) from primary and secondary wholesalers, third party vendors and the Bayhealth warehouse. Maintain all purchasing invoice records appropriately by reviewing for accuracy and ensure proper storage/filing. b. Stocking duties to include placing orders into pharmacy stock, stocks department storage areas (medications placed in correct locations, etc.), maintains storage areas in an organized manner (identification of high alert medications, sound alike/look alike medications, no outer cardboard boxes, etc.), maintain item stock location labels on all areas of the pharmacy, & monthly completion of assigned inspections areas within the pharmacy department. c. Inventory Management /Requisitions duties include working with Pharmacy Buyer to assure adequate inventory needed for patient care, communicate volume variance and other pertinent information to appropriate staff, monitors and maintain formulary inventory levels to ensure availability of inventory for daily dispensing, maintain usage data for packaged medications and provide maintenance, reports to Pharmacy Leadership, upon request. Fills requisitions for stock from ancillary and outpatient area; placing items delivered in correct location and paperwork in correct location for billing, maintains consistent inventory turns, and is responsible for labeling bins and handling requests to change and adjust PAR levels. d. Automated dispensing system (e.g. Pyxis) required cycle counts including cycle counting, corrections and counts that are not accurate. Cycle counts also include ensuring there are no expired medications. e. Medication Packaging including completion of in-house ready packaging (i.e. bulk packaging or over-wrapping) for all medications not available from the vendor in a unit-of-use format, Medication (solid and liquid) re-packaging will follow established guidelines set forth by Bayhealth Medical Center Pharmacy policy. f. Packaging Equipment Maintenance including maintaining cleanliness of packaging equipment and coordinates maintenance of the equipment, maintains cleanliness and organization of the packaging areas and/or room, responsible for making minor adjustments to the equipment as instructed by the vendor, and works in collaboration with the vendor to assist in upgrades or major equipment repairs. g. Packaging Supplies - including monitoring inventory of supplies required for the operation of the packaging equipment, e.g. labeling, packaging containers; tubing, ribbons, etc., responsible for ensuring that packaging supplies are reordered timely to ensure that medications can be packaged on demand and communicate supply replenishment to Pharmacy Buyer in a timely fashion. h. Packaging Coordination - including coordinating packaging of medications with the Inventory Coordinators (Kent & Sussex) and the Pharmacy Buyer to ensure unit-dose medication availability, coordinate appropriate packaging volumes for each campus in cooperation with the Business Supervisor or designee, along with the Operations Managers at each site. i. Packaging Accountabilities including maintaining a 99.5% accuracy for packaging. This includes but is not limited to labeling and packaging integrity, utilizing the required packaging components – e.g. clear; light-resistant or specialty colors for cellophane; proper sizes for liquid packaging, efficiency in use of packaging workday – with work volume to be established based upon industry standards, and Barcode responsibilities. j. Computer Database Systems including input medication information, including generic and brand name references; strengths and dosage forms into the formulary database, input relevant packaging information, including quantities; NDC’s; expiration dates; lot numbers; manufacturer and manufacturer’s coding in the computer database, demonstrates competency in the operation of the pharmacy medication dispensing cabinets (e.g. Pyxis) and in the operation of the controlled substance anesthesia system. k. Epic/Willow Computer Database Systems including input medication information inventory including Daily Cycle Counts, Daily Manual Receive Shipment, Daily Invoice Confirming, Medical Group Orders (OFFSITE) and Shipments, Direct Transfer Kent Internal and Child Sites Services, Mckesson Connect Portal Shipment Finalization, Drug Shortages Inventory Update, Update Balances and Exempt Receive for None Epic Willow Orders, Barcoding none readable Medication Barcode, Update Utilizations Report on Short Dated Compounded Controlled Substances l. Regulatory Agencies reporting including complying with all regulatory agency accountabilities concerning the branding of medications, adhere to Pharmacy Department Standards and regulatory agencies regarding medication packaging, & run packaging reports and maintain filing for packaging in accordance with regulatory standards.
  • Systemwide accountability for compliance with the Food and Drug Administration’s (FDA) Drug Supply Chain Security Act (DSCSA) and including required tracking, tracing, and record keeping.
  • Cross trained in the role of the Pharmacy Buyer.
  • Training other pharmacy team members (including Specialized Inventory Technicians) in proper receipt and stocking of pharmaceuticals across the health system.
  • All other duties as assigned within the scope and range of job responsibilities.

  • Education: High School Diploma or GED
  • Credential(s): Certified Pharmacy Technician, Supply Chain and Inventory Management - Within 1 Year
  • Experience: Required: Pharmacy technician with 2 years of hospital purchasing experience.
