Job summary

New York University seeks a Program Administrator for University-wide Doctoral Affairs to serve as the operational backbone for high-priority initiatives in the Office of the Vice Provost for Academic Program Review & Doctoral Affairs.

Champion the PhD student experience at NYU by orchestrating high-profile university-wide events with PhD students and PhD alumni, building vibrant community connections, and managing the day-to-day administration of the Doctoral Affairs portfolio.

Qualifications

• Bachelor’s Degree required.
• Master’s Degree preferred.
• 2+ years experience administering academic or research programs and events.
• 2+ years preferred experience in higher education, graduate student affairs, or Provost’s office context.
• Experience with modern digital media and design tools (Adobe Creative Suite, Canva, Mailchimp) and work-management platforms (Asana, Airtable, Notion, Trello).
• Exceptional written and verbal communication; strong visual design and data visualization; CMS web maintenance; budgeting and data management.
• Advanced proficiency with data visualization tools (e.g., Tableau, Power BI) and survey platforms; familiarity with WordPress/Drupal CMS.

Responsibilities

• Coordinate university-wide events for PhD students and alumni.
• Produce polished visualizations and presentations for internal and external audiences.
• Draft compelling communications, reports, and briefs.
• Oversee day-to-day administration of the Doctoral Affairs portfolio.
• Gather and analyze data to shape university practices and programs.
• Monitor budgets and ensure prudent resource use.
• Enhance NYU Doctoral Affairs visibility through digital platforms.
