Job summary

Plains is seeking a Land Records Technician in Houston to manage land documents and data entry. You will review land records, perform data entry into the Land Records Database, and assist with scanning, indexing, and sharing documents in SharePoint.

GIS mapping and accurate description plotting are essential in this role. The ideal candidate has 1–3 years of oil and gas land records experience, strong attention to detail, and proficient MS Office skills.

Essential Functions/Responsibilities
  • Review and analyze new rights-of-way, leases, deeds, assignments, bills of sale, contracts and other land documents (“Land Documents”) and prepare physical files.
  • Data entry of new Land Documents into the Land Records Database.
  • Assist in the review, input, barcoding, scanning and indexing of Land Documents to Database and Intelligent Capture.
  • Ability to plot land and pipeline legal descriptions, inclusive of metes and bounds for appropriate data entry of Land Documents.
  • Use GIS to confirm the status and details about assets.
  • Communicate with Land staff and contractors to obtain all relevant support and documentation related to Land Documents.
  • Maintain, organize and file all Land Documents in the Land file rooms.
  • Maintain, organize and file all land and pipeline maps/alignment sheets and survey plats into SharePoint and in physical files.
  • Ability to review physical files to confirm the accuracy of the information represented in the Land Records Database.
  • Assist with special projects as requested.
  • Perform Land Records Database cleanup projects as well as maintenance of records as needed.
  • Respond to inquiries and provide information to Land, Operations and other departments throughout the Company.
  • Research surface ownership using online county clerk, assessor and recorder databases.
  • Prepare, organize and maintain Land Documents and update indexes of records to be stored at offsite locations.
  • Submit Land Documents to county clerks for recording.
  • Assist with the mass mail-outs using U.S. Express Mail and FedEx. Assist with the daily FedEx mailings when needed.
  • Prepare check requests, as needed.
  • General office duties as assigned.
Requirements
  • 1-3 years Oil and gas land records experience.
  • Attention to detail is imperative and will be a key component.
  • Able to perform detailed work with speed and accuracy.
  • Excellent interpersonal and communication skills. Ability to effectively communicate orally and in writing with all levels within the organization as well as external contacts.
  • Thorough and detailed worker with excellent organizational skills and judgment.
  • Self-starter who is eager to learn.
  • Team player and responsible individual who takes initiative/ownership in all areas of work.
  • Experience with mapping software, particularly ArcGIS is strongly preferred.
  • Highly flexible and able to multitask and adapt to changing protocol and responsibilities as is necessary.
  • Ability to meet deadlines, occasionally work overtime upon short notice.
  • Associate’s Degree or higher preferred, but not required.
  • Proficiency in Microsoft Word/Excel/PowerPoint/Access.
  • Cleared criminal history (background) and satisfactory reference checks
  • Compliance with the Company’s drug and alcohol policy including pre-employment D&A testing.
