InterMed is expanding with a new Scarborough location and seeks a Lab Coordinator to oversee daily operations of the laboratory specimen collection team. You will ensure high-quality patient care, regulatory compliance, and efficient workflows across sites.

The role includes supervising staff, coordinating staffing, onboarding, and training, and driving quality initiatives in alignment with InterMed’s mission and Lean Six Sigma goals.

Qualifications

  • Associate’s degree in healthcare, laboratory science, or related field required; bachelor’s preferred.
  • License/Certifications: BLS required or to be obtained within 6 months of hire.
  • 3–5 years of lab operations experience including specimen processing and workflows.
  • At least 1 year of supervisory or lead experience; multi-site experience a plus.

Responsibilities

  • Supervise daily activities of Laboratory Assistants and specimen collection personnel.
  • Coordinate staffing schedules for multiple locations to ensure coverage.
  • Monitor productivity, staffing levels, and workflow to meet patient demand.
  • Lead onboarding, orientation, and training; conduct staff huddles and communicate updates.
  • Coordinate staff competency development, training records, and program implementation.
  • Assist in interview and hiring of Lab Assistant candidates; cover Lab Manager duties as needed.
  • Oversee daily specimen collection operations including courier activities and transport.
  • Monitor turnaround times, specimen labeling, handling, and QC metrics.
  • Support quality and compliance with CLIA and CAP standards; prepare for inspections.

  • Salary Range : $79,684.80 USD to $115,606.40 USD

SUMMARY: The Lab Coordinator oversees the daily operations of the laboratory specimen collection team while maintaining direct responsibility for patient specimen collection and laboratory support services. The role ensures high-quality patient care, regulatory compliance, staff development, and efficient workflow across multiple laboratory collection sites. The Lab Coordinator serves as a clinical resource, coach, and operational leader while supporting organizational goals for quality, patient experience, employee engagement, and operational excellence.

CORE RESPONSIBILITIES:

  • Supervise the daily activities of Laboratory Assistants and specimen collection personnel.
  • Coordinate staffing schedules to ensure adequate coverage across laboratory locations.
  • Monitor productivity, staffing levels, and workflow to meet patient demand.
  • Conducts/coordinates employee onboarding, orientation, and training.
  • Lead staff huddles and communicate organizational updates and process improvements.
  • Coordinates clinical competencies for staff to include program development, content, assessment, documentation, and maintenance of training records
  • Works on projects as directed by lab management
  • Directly involved in the interview and hiring process for Lab Assistant candidates
  • Provide coverage for Lab Manager in their absence
  • Performs other management duties as directed by the Lab Manager.
  • Coordinate daily specimen collection operations including courier activities
  • Ensure timely and accurate specimen collection, labeling, handling, and transport.
  • Monitor turnaround times and workflow metrics.
  • Resolve patient service concerns and operational issues.
  • Assist with the implementation of new laboratory services and workflows.
  • Monitor inventory and order laboratory supplies.
  • Escalate issues affecting patient care or laboratory operations.
  • Quality and Compliance
  • Ensure compliance with:
    • CLIA
    • CAP
  • Monitor specimen quality indicators.
  • Participate in quality improvement initiatives.
  • Assist during regulatory inspections and accreditation surveys.
  • Maintain accurate documentation and competency records.
  • Overall accountability and management of colleagues
  • Regularly assess developmental opportunities for colleagues, coach colleagues to enhance performance, and support colleagues in learning and applying new skills and competencies.
  • Coordinate and monitor staffing levels and labor efficiency
  • Approver for colleague payroll biweekly in accordance with payroll department guidelines and schedule.
  • Mentors and counsels’ colleagues to include initiating Performance Improvement plans.
  • Works with the Compliance and Human Resources teams to ensure compliance with State, Federal and OSHA (Occupational Safety and Health Administration) requirements for colleagues.

    • Leads Lean Six Sigma initiatives for the department to foster a culture of continuous improvement.

    • Works in partnership with the clinical teams, practice leadership, and senior leadership teams.

  • Confidentiality
    • Demonstrate knowledge and understanding of patient privacy rights under HIPAA (Health Insurance Portability and Accountability) guidelines. Maintain confidentiality related to financial, or other sensitive materials and information in printed, electronic, or verbal form, which may jeopardize the privacy of patients and/or colleagues. Accesses and uses the minimum necessary patient identifiable information to perform job responsibilities and duties and only for authorized purposes.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Education:
    • Associate’s degree in healthcare, laboratory science, or related field required, or a combination of education and relevant work experience. Bachelor’s degree preferred.
  • License/Certifications:
    • Basic Life Support (BLS) required, or ability to complete certification within 6 months of hire
  • Experience:
    • 3 to 5 years of related lab experience required, including specimen processing and handling, and lab workflow management
    • At least 1 year of supervisory or Lead experience required.
    • Experience in a multi-site healthcare environment preferred.
    • Excellent venipuncture skills required.
    • Proficiency of Microsoft Office Suite (Word, Excel, Outlook, and PowerPoint) and webmail
    • Proficiency in LIS and EMR use
    • Excellent communication skills, both verbal and written
    • Exceptional attention to detail
    • Ability to foster an enhanced team environment

The estimated compensation range is the budgeted amount for this position. Final offers are based on various factors, including skill set, experience, location, qualifications, and other job-related reasons. Certain positions may be eligible for incentive compensation plans above and beyond base compensation.
