Job summary

Orange Barrel Media (OBM) seeks a Project Coordinator to support the IKE Deployment team in delivering interactive kiosks across U.S. markets. Based in our West Hollywood office, you will assist PMs, manage schedules, track permits and utilities, coordinate vendors, and help keep SiteTracker and docs up to date.

The role offers daily on-site work with potential remote one day/week after six months. You will grow into project management, learning siting, permitting, power, build, and activation

Qualifications

• 2–3 years of experience supporting construction, infrastructure, engineering, development, or project management teams.
• Strong organizational and time management skills with the ability to manage multiple priorities.
• Excellent written, verbal, and interpersonal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Experience with SiteTracker, Salesforce, or similar project tracking system, or ability to learn quickly.
• Strong attention to detail and good documentation habits.

Responsibilities

• Support Project Managers across the deployment lifecycle, from siting and permitting through construction, activation, and closeout.
• Maintain project schedules, milestone tracking, and deployment pipeline data in SiteTracker, keeping records accurate across markets.
• Track permit applications and encroachment submittals with Civil Engineering partners, monitor review cycles and resubmittals.
• Track utility coordination and power make-ready activities, following up on open items and flagging delays to the PM.
• Support vendor management, onboarding, scheduling, follow-up, and performance tracking for contractors, electricians, and suppliers.
• Coordinate with fabrication and logistics on kiosk production schedules, shipping, and delivery to market.
• Assist contract administration including scope of work, PO creation, change orders, and invoice processing.
• Assist with project budget tracking, cost reporting, and forecasting.
• Coordinate project meetings, agendas, minutes, decisions, and action items; maintain docs.
• Prepare recurring status reports and dashboards for stakeholders and city partners.
• Maintain punch lists through construction and activation and closeout items.
• Coordinate communications across Development, Design, Operations, Finance, consultants, contractors, and city stakeholders.
• Contribute to improving deployment processes, templates, and documentation standards.
• Travel occasionally for field visits and pre-construction meetings.
