Job summary

Grantsville City Justice Court is seeking a Judicial Assistant to support courtroom operations under the Justice Court Judge. The role serves as the primary in-court clerk, manages court records, calendars, dockets, and financial transactions, and assists the public and attorneys.

The position is part-time, non-exempt, with wage range of $20.00–$24.00 per hour depending on experience. Applicants must have a high school diploma and relevant office experience, with BCIs and annual training

Qualifications

  • Knowledge of office practices, recordkeeping, filing, customer service, and administrative procedures.
  • Knowledge of court procedures, legal terminology, document formats, and criminal and civil court processes.
  • Proficiency with computers and office applications, including Google Workspace, Microsoft Word, Excel, email, and related technology.
  • Effective verbal and written communication skills.
  • Ability to work independently, exercise sound judgment, and remain professional during stressful, sensitive, or high-contact situations.
  • Ability to establish and maintain an effective professional working environment.
  • Ability to maintain strict confidentiality of court records, criminal justice information, and sensitive matters.

Responsibilities

  • Assists the public in person and by telephone with court cases, bail, warrants, payments, appointments, and other judicial services.
  • Serves as the primary in-court clerk for criminal hearings, bench trials, small claims hearings, jury trials, and other proceedings.
  • Records hearings, enters court minutes, operates Webex and courtroom audio systems, schedules hearings, and completes post-hearing documentation.
  • Supports the Judge and court participants and coordinates bailiffs, interpreters, remote appearances, and other courtroom needs.
  • Issues, enters, and recalls warrants and prepares court orders, commitments, jail releases, jury instructions, venires, pleadings, motions, summonses, subpoenas, judgments, and related documents as directed.
  • Updates court dockets and case records, including citations, bail notices, case activity, dispositions, small claims files, and other required documentation.
  • Completes follow-up on late notices, fines, warrants, payment arrangements, plea in abeyance matters, and other court-ordered requirements.
  • Receives, posts, verifies, and reconciles payments, credits, and other financial transactions and balances daily cashier and financial reports.
  • Conducts state record searches and other case-related research as required.
  • Coordinates with law enforcement agencies, prosecutors, defense attorneys, probation and treatment providers, jails, other courts, bail bond companies, and City departments.
  • Performs general clerical duties, including processing mail, email, and court correspondence.
  • Performs other duties as assigned.

Overview:

Under the direction of the Justice Court Judge, the Judicial Assistant performs clerical, administrative, and courtroom support duties necessary for the efficient operation of the Grantsville City Justice Court. The position serves as the primary in-court clerk; processes and maintains court records, calendars, dockets, and financial records; monitors defendant compliance; assists the public; and coordinates with attorneys, law enforcement agencies, courts, and other criminal justice partners. Work requires accuracy, confidentiality, professionalism, and impartiality.

Key Responsibilities:
Courtroom & Judicial Support

Working Conditions:
  • The employee performs work in a typical office setting. Duties require physical activities including walking, standing, stooping, sitting, reaching, talking, hearing, and seeing. Hand-eye coordination and finger dexterity are required to perform essential functions. Mental demands include attention to detail, following verbal instructions, emotional stability, memory, and critical thinking.
Requirements
Minimum Qualifications:

High school diploma or equivalent required.

Two (2) years of office experience involving public contact, telephone service, filing, and cashiering, preferably in a court of legal setting.

Keyboarding proficiency of approximately 50-60 words per minute.

Must obtain BCI certification within six (6) months of hire.

Must complete approved coursework sponsored by the State of Utah annually.
