Job summary

Material Good in New York is seeking an Inventory and Operations Associate (Jewelry) to manage the lifecycle of our luxury inventory—from receiving to reporting—ensuring accuracy, pristine condition, and availability for clients.

You will collaborate with the Inventory Manager, Director of Inventory & Merchandising, sales teams, vendors, and internal departments to optimize stock, coordinate transfers, tag items, and oversee repairs and returns. Basic office management is included.

Responsibilities

• Enter and manage jewelry in the POS with complete product details.

• Maintain daily and monthly inventory counts in collaboration with the Inventory team.
• Coordinate weekly transfers between locations and assist client appointment requests.

We are seeking a highly organized and detail-oriented Inventory and Operations Associate (Jewelry) to oversee the management, maintenance, and reporting of our watch collection within your location. This role is essential in ensuring that our luxury timepieces and jewelry are accurately tracked, maintained, and available for our clients.

Role Overview

As the Inventory and Operations Associate, you will be responsible for managing the lifecycle of our inventory—from receiving and processing to tracking, maintaining, and reporting. You will work closely with our Inventory Manager and Director of Inventory & Merchandising, sales team, external vendors, and internal teams to ensure that our inventory assortment meets the highest standards based on customer demand and maximize our investment and profit.In addition to inventory management this role will be overseeing basic office management to ensure all needed supplies and services are maintained for day-to-day operations.

Key Responsibilities

Inventory Management & Processing:

• BOH Processing and Receiving:
  • Accurately enter all jewelry into the POS system with complete product details.
  • Process and tag all incoming jewelry prior to being handed over to the sales team for display or client orders.
  • Ensure special custom orders and client-specific requests are properly logged, processed, and handed off to the corresponding salesperson.
  • Maintain daily case counts as well as monthly physical inventory counts supported by the sales team.Reconcile discrepancies and report to the Director of Inventory and Merchandising and Finance.
  • Enter and manage purchase orders (POs) in the POS system, verifying item counts, pricing, and vendor details for accuracy.
  • Ensure all Product is appropriately tagged and BOH is well organized by Category.
  • Process all Weekly Transfers between locations and help facilitate transfer requests for client appointments daily.
• Maintain regular communication with the sales team to track sales trends, ensuring that inventory quantities align with demand for various jewelry styles.
• Coordinate with the marketing team to ensure new jewelry is photographed and showcased for website and social media purposes.
• Perform weekly checks on inventory to identify sold items and replenish stock as needed in collaboration with the Directory o f Inventory and Merchandising.
• Tracking RTV (Return to Vendor)
• Oversee the receipt and return of any faulty or non-selling stock to vendors as needed
• Ensure jewelry is maintained in pristine condition, coordinating with external service providers for any repairs or refurbishments.
• Log, track, and manage all repairs from intake through vendor coordination to return, updating inventory records accordingly.
• Take full oversight of Jewelry inventory components, ensuring they are accurately logged and tracked through each stage of their lifecycle, from receiving to sale.

Reporting & Documentation:

• Handle all internal reporting for new jewelry, ensuring monthly reports are accurate and reflect the sales and inventory status of the collection.
• Provide on-hand stock reporting and send it along to HQ as needed.
• Track and lead all accurate documentation related to in-stock jewelry.
• Manage all invoices for asset jewelry and forward them to the accounting department for payment processing.

Sales & Trend Analysis:

• Maintain ongoing communication with the sales team to identify jewelry styles that are selling most frequently, ensuring that quantities are adjusted accordingly.
• Stay updated on market trends and customer preferences in the luxury watch sector, offering insights to ensure our inventory remains relevant and in demand.

Quality Control & Logistics Coordination:

• Oversee the logistics for receiving, processing, and sending out repairs, ensuring that all jewelry meets Material Good’s quality standards before reaching clients.
• Regularly inspect and maintain jewelry in stock to ensure they remain in excellent condition.
• Perform daily or weekly counts of jewelry in stock to ensure inventory accuracy.
• Perform inventory counts monthly and reporting results to HQ.

Salary range (Based on experience) $65,000-$85,000 plus benefits package and eligible for discretionary bonus.

Additional duties will be assigned as store and business needs dictate.
