Engineering a world of possibilities The IT Communications and Content Manager is a key communications, knowledge management, and content governance role within the Information Technology department at Colorado School of Mines. The position leads the development and lifecycle management of IT communications, knowledge resources, website content, policies, procedures, user guidance, and other published materials. Through this work, the position ensures that IT information is accurate, timely, accessible, easy to understand, and aligned with Mines standards, IT priorities, and campus needs. This position serves as IT’s central resource for communications, knowledge management, content lifecycle governance, and policy and procedure review coordination. Working across IT leadership, the Office of the CIO, technical teams, service owners, project teams, and campus partners, the position translates complex technical, service, operational, and policy information into clear, audience-appropriate communications and documentation. The role exercises independent judgment in recommending communication channels, content standards, review timelines, and change management approaches. It supports change management by identifying impacted audiences, communication and guidance needs, implementation timing, and related updates to web content and knowledge resources. The position also facilitates the annual review of all IT policies and procedures to help ensure they remain accurate, current, clearly owned, and aligned with institutional requirements and department practices. As Mines expands its use of artificial intelligence tools, this role strengthens AI readiness by maintaining the authoritative content those tools rely on. Accurate, current, and well-organized content improves the quality of information retrieved by AI-enabled tools and supports more relevant, reliable responses for the Mines community. This position currently operates in a hybrid work model with regular campus presence required, at least two days per week. Work arrangements are subject to change based on institutional needs. The successful candidate must be able to commute to campus in Golden, Colorado. Candidates must be currently authorized to work in the United States. Visa sponsorship is not available for this position now nor in the future.

Primary Responsibilities

CONTENT, KNOWLEDGE MANAGEMENT, AND DOCUMENTATION GOVERNANCE

• Create, edit, and maintain digital resources including knowledge base articles, websites, user guides, and other related content.
• Develop, maintain, and promote standardized templates, guidelines, and documentation practices for knowledge base articles, internal IT documents, and external customer-facing materials.
• Establish and coordinate recurring content review cycles with designated owners to verify accuracy, relevance, accessibility, and alignment with current IT services and practices; track completion, follow up on overdue updates, and promote shared ownership of knowledge resources across IT.
• Improve search and retrieval by applying metadata, taxonomy, naming, content-organization practices, and content quality standards; review user feedback, search behavior, and support trends to identify content gaps and opportunities for improvement, including information used by AI-enabled and other knowledge retrieval systems.
• Identify key sources of institutional knowledge, including documents, data, processes, and the expertise of Mines' staff, and promote practices that improve knowledge sharing and continuity across IT.
• Support the review, editing, and cataloging of IT department position descriptions to improve consistency, maintain current role documentation, and support timely recruitment activities.
• Create and maintain partnerships with other Mines departments that maintain their own knowledge bases, promoting alignment and consistency.
• Evaluate knowledge management processes and implement improvements that increase content accuracy, findability, consistency, accessibility, ownership accountability, and timely review.

IT COMMUNICATIONS AND OFFICE OF THE CIO SUPPORT

• Create, edit, coordinate, and publish formal announcements and communications on behalf of IT and the Office of the CIO, including identifying the intended audience, recommending the appropriate channel and timing, coordinating review with subject matter experts and leadership, and confirming readiness for publication.
• Send timely communications to the Mines community regarding system maintenance, outages, service impacts, and restorations; coordinate follow-up messages as conditions change; and use stakeholder feedback, support trends, and available communication metrics to improve future messages.
• Provide editing expertise for project updates, physical handouts, and other communication content on behalf of IT.
• Design and edit professional presentations that follow best practices and Mines branding standards.

POLICY, PROCEDURE, AND CHANGE MANAGEMENT SUPPORT

• Draft, edit, format, publish, and maintain IT policies, procedures, guidelines, standards, process documentation, and related support materials.
• Facilitate IT policy and procedure reviews by coordinating with owners and stakeholders, tracking approvals and publication status, and escalating overdue reviews or unresolved ownership issues to IT leadership.
• Support change management for IT policies and procedures that impact the campus community by assessing affected audiences and operational impacts; developing communication, guidance, and training-support plans; coordinating implementation timing with policy owners and campus partners; and collecting feedback to identify additional clarification or follow-up needs.
• Identify opportunities to improve the clarity, consistency, ownership, and effectiveness of IT policies and procedures.

IT WEBSITE AND DIGITAL CONTENT GOVERNANCE

• Manage and improve IT website content to ensure pages are accurate, useful, accessible, and aligned with IT services and campus needs.
• Coordinate updates, archival, redirects, and removal as appropriate.
• Work with IT and campus partners to ensure public-facing content reflects current services, support expectations, contact paths, and available resources.
• Apply content management, accessibility, usability, and search practices to improve how users find and understand IT information.

Minimum Qualifications

• Bachelor’s degree required, preferably in communications, English, journalism, technical writing, information technology, business administration, public administration, organizational change, or a related field.
• Individuals without a degree may be considered if they demonstrate substantially equivalent knowledge gained through a combination of relevant professional experience and formal instruction.
• 4+ years of professional experience in organizational communications, technical writing, content or knowledge management, web content governance, policy and procedure documentation, or change management support.
• Demonstrated experience managing content, knowledge resources, web content, or technical documentation in a complex service environment.
• Advanced writing, editing, proofreading, and plain-language communication skills, with the ability to adapt technical and policy information for varied audiences.
• Familiarity with best practices for content creation, editing, and organization.
• Experience supporting change management for campus-impacting policies, procedures, services, and processes by assessing audiences and impacts, developing clear communications and guidance, coordinating implementation activities, and gathering feedback.
• Knowledge of metadata and content search optimization techniques.
• Strong analytical skills, particularly in identifying and cataloging institutional knowledge sources.
• Proven capability to collaborate effectively with cross-functional teams and departments.
• Ability to evaluate and improve the findability of digital content by applying metadata, taxonomy, naming conventions, content organization, and user-centered search practices.
• Basic knowledge of HTML and CSS.
• Experience exercising discretion and maintain confidentiality when handling internal department matters, leadership communications, draft policies and procedures, service-impact information, and materials that are not yet approved for publication.

Preferred Qualifications

• Experience supporting executive or department-wide communications, administering recurring policy or procedure review cycles, coordinating campus-facing change communications, or improving a website, knowledge base, or shared documentation environment.
• Experience working in an information technology, higher education, public sector, or similarly complex service organization, with responsibility in organizational communications, knowledge management, content governance, IT service management documentation, policy and procedure administration, or change management support.
• Experience implementing ITIL processes or service management practices.
• Experience using project management processes to plan, coordinate, and complete projects.
• Experience with graphic design, presentation design, or visual communication.
• One or more relevant professional certifications are preferred. Relevant credentials include Prosci Change Management Certification, Certified Change Management Professional (CCMP), ITIL 4 Foundation or higher, Project Management Professional (PMP), Certified Associate in Project Management (CAPM), Certified Professional in Accessibility Core Competencies (CPACC), Certified Professional Technical Communicator (CPTC), or a comparable certification in change management, knowledge management, technical or professional communication, digital accessibility, IT service management, or project management.

Salary and Benefits

$87,750 - $96,300 annual salary Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
