Job summary

Responsibilities

  • Prepares client materials and meetings, creates asset allocations, and reviews performance.
  • Communicates with clients and Portfolio Advisors to understand needs and facilitate service changes.
  • Collaborates with Client Service team to share information on client relationships and portfolios.
  • Processes client cash requests and funds transfers for approval.
  • Analyzes client accounts against investment guidelines and rebalances as needed.
  • Maintains investment objective letters and ensures timely updates.
  • Completes required training and participates in monthly compliance processes.
  • Ensures proper documentation and coding for clients and accounts; maintains organized files.
  • Runs reports for Portfolio Advisors or clients; researches tax cost issues with tax department.
  • Initiates client-initiated transactions and handles stock/bond certificates and DTC transfers.
  • Responds to client inquiries via phone or written correspondence.
  • Processes trades by deadlines under Portfolio Advisor direction.
  • Follows National Investment Guidelines and provides solutions in atypical situations.
  • Drives team performance through improved efficiency and practice adjustments.

Salary Range:

$72,680 - 109,020 USD

Salary range is a good faith estimate of base pay. Northern Trust provides a comprehensive benefits package including retirement benefits (401k and pension), health and welfare benefits (medical, dental, vision, spending accounts and disability), paid time off, parental and caregiver leave, life & accident insurance, and other voluntary and well-being benefits. Northern Trust also provides a discretionary bonus program that may include an equity component.

Key Responsibilities of the role include:
  • Prepares client presentations and ensures all portfolio materials are ready for client meetings. Creates custom asset allocations and reviews performance for accuracy. Identifies possible issues and amends prior to client meetings.
  • Communicates actively with clients and Portfolio Advisors on client requests. Develops clear understanding of clients’ needs behind service requests and communicates to service partners. Obtains appropriate information from partners and clients to facilitate service changes or process transactions. Handles routine issues independently while engaging the appropriate PA as needed.
  • Collaborates with the Client Service team on a regular basis to receive and communicate information on all aspects of a client relationship or portfolio.
  • Processes client cash requests. Determines account in which to raise funds and submit trades for approval by the Portfolio Advisor.
  • Analyzes client accounts based on client investment guidelines to identify issues. Rebalances portfolios with Portfolio Advisor guidance.
  • Manages client investment objective letters proactively for Portfolio Advisors such that they are updated before expiring.
  • Completes the GDWM training and demonstrates a proficient level of use.
  • Manages the entire process for the Client Service team’s monthly compliance (REV) meeting.
  • Ensures that accounts have proper documentation and/or coding for existing or new clients (i.e., non-guidance holdings, concentration holdings, IPS forms, address changes, statement addresses, investment guidelines, fees, etc.) and ensures files are properly organized and maintained.
  • Runs various reports for Portfolio Advisors or clients, as requested.
  • Researches tax costs issues and works with the tax department to correct discrepancies and verify adjustments on client accounts.
  • Initiates transactions requested by the client (i.e. remit proceeds, stock gifting requests, etc.). Processes physical stock/bond certificates and completes DTC transfers.
  • Follows up with clients on inquiries via the telephone or written correspondence.
  • Processes trades by established deadlines with direction from Portfolio Advisor.
  • Adheres to National Investment Guidelines.
  • Provides solutions to problems in situations that are atypical or infrequently occurring based on practice and existing precedents or procedures.
  • Impacts the quality, timeliness and effectiveness of the team; uses discretion to modify work practices and processes to achieve results or improve efficiency.
