Baystate Health in western Massachusetts seeks a Senior Inventory Control Analyst to oversee inventory across BH locations, maintain master data integrity in MMIS, and support recalls and substitutions. Responsibilities

  • Perform inventory analysis and create replenishment orders to ensure product availability and maintain par levels.
  • Partner with Supply Chain Team and Service Line leadership to determine supply needs and resolve product availability issues.
  • Collaborate with Clinical Value Analysis Manager, Purchasing Agents, and Materials Managers on inventory product conversions while maintaining appropriate inventory levels pre- and post-conversion.
  • Maintain integrity of Inventory and Warehouse data in the Lawson MMIS; use reports to validate data.
  • Lead all physical inventories; analyze obsolete/overstock items and ensure results feed to general ledger.
  • Work with Document/Print & Mail on inventory forms; participate in Medical Records Forms Committee guidelines.
  • Control and monitor stock across warehouse locations; set safety stock, reorder points, and max stock levels by item.
  • Assist MMIS Administrator with ad-hoc reporting, testing, and developing training tools.
  • Expedite overdue orders and communicate status to service line customers; identify alternatives during backorders.
  • Provide immediate analysis on recall notifications; collaborate to resolve issues per policy.
  • Create reports, charts, graphs, and spreadsheets; author weekly Materials Newsletter to Baystate colleagues.
  • Collaborate with Warehouse Leaders to complete weekly inventory cycle counts and post transactions.
  • Resolve inventory receiving issues with warehouse and external vendors; process credits/replacements as needed.
  • Serve on Inventory Initiatives Committee to monitor data and improve inventory turns.
  • Resolve discrepancies such as RNI, MNR and inventory valuations.
  • Support MMIS testing, upgrades, and monthly closings with the MMIS team.
  • Coordinate with Accounts Payable to resolve discrepant inventory invoices.
  • Maintain a neat, safe work area per Baystate Health requirements.

Job description

Summary: The BH Sr. Inventory Control Analyst (ICA) performs a wide variety of functions related to managing inventory stock for all BH perpetual inventory locations. The incumbent maintains the data integrity for inventory master files by extracting data from the system and performing validation checks. Monitors all transactions related to inventory activity (i.e., RNI and MNR etc.). The Sr. ICA provides integral support to the Manager of Clinical Value Analysis and Nursing Leadership with respect to urgent product recalls and product substitution requirements. The incumbent provides support to all Supply Chain team members throughout BH to analyze inventory statistics in order to achieve the optimal inventory asset value. The incumbent leads the process of cycle counts, mid-year and year-end physical inventories, maintaining/filing documentation of inventory control transactions, and generating reports essential to supply chain operations. The BH Sr. Inventory Control Analyst reports directly to the BH Mgr. of Supply Chain Ops and MMIS and is a key contributor to the efficiency and effectiveness of the BH Supply Chain team.

Job Responsibilities
  • 1) Perform a variety of supply chain functions including inventory analysis, creating replenishment orders to ensure product availability, and maintaining appropriate par level/dollar value of multiple inventories within BH.
  • 2) Partner with members of the Supply Chain Team and Service Line leadership to determine supply needs and achieve resolution of product availability issues.
  • 3) Collaborate with the Clinical Value Analysis Manager, Purchasing Agents, and Materials Managers and Coordinators on inventory product conversions. Ensure that proper inventory levels are achieved during the pre-conversion and post-conversion processes.
  • 4) Maintain the integrity of the information in the Inventory and Warehouse module within the Lawson Material Management Information System (MMIS). Use reporting tools to extract data for validation check points.
  • 5) Lead all physical inventories. Analyze and make decisions on obsolete and/or overstock inventory items. Ensure that all warehouse transactions are completed and sent to the general ledger.
  • 6) Work in partnership with the Coordinator of Document, Print & Mail on inventory forms management. Serve as a member of the Medical Records Forms Committee, participating in the establishment of rules and guidelines for forms management.
  • 7) Control and monitor inventory of stock in all warehouse locations. Establish efficient item indicators such as safety stock, reorder points and maximum stock levels by item to maximize investment ratio to operational supply needs.
  • 8) Assist MMIS Administrator with ad-hoc reporting, testing various applications and developing tools and documents for training purposes.
  • 9) Expedite overdue orders and inform service line customers of order / delivery status. Identify and procure alternate products during backorder situations.
  • 10) Provide immediate analysis upon receipt of medical device/product recall notification (FDA, vendors, manufacturers, etc.). Collaborate with Clinical Value Analysis, Nursing, Clinical Engineering, and other Baystate colleagues to resolve issues according to System Policy.
  • 11) Collect information to create reports, charts, graphs, and spreadsheets and complete special projects on a routine and ad hoc basis for departmental and internal BH customers. Author weekly Materials Newsletter in order to communicate inventory changes, deletions, recalls and substitutes to Baystate colleagues.
  • 12) Collaborate with the Warehouse Team Leaders to ensure accurate completion of weekly inventory cycle counts. Post inventory transactions to adjust inventory balances on hand.
  • 13) Work with warehouse and receiving department to resolve inventory related receiving issues. Work with BH colleagues and external vendors to return products for credit or replacement as necessary.
  • 14) Serve as member of Inventory Initiatives Committee, completing a timely ongoing review of data to achieve inventory management goals. Track inventory management initiatives, increase inventory turns and report results monthly.
  • 15) Resolve transaction discrepancies such as RNI, MNR and inventory valuations.
  • 16) Provide support to Materials Management Systems Administrator on MMIS testing and upgrades, and monthly period-end closings.
  • 17) Work with customers and Accounts Payable to research and resolve discrepant inventory invoices.
  • 18) Ensure work area is kept and maintained in a neat, clean, organized and safe manner at all times in accordance with BH health and safety requirements.
  • 19) Consistently adhere to confidentiality, the Baystate Operating Principles, and the Baystate Best Service Standards as a member of the BH Supply Chain team. Ensure that all Departmental policies and procedures are effectively and efficiently carried out.
  • 20) Perform other related duties as assigned, observe all health and safety requirements, and adhere Baystate Health.
Required Work Experience
  • 1) 7 years experience in a healthcare environment
  • 2) Must be able to perform all functions of the Inventory Control Analyst position
  • 3) Must possess the ability to recognize, react to, and resolve urgent product issues that directly impact patient care
Preferred Work Experience
  • 1) Knowledge of medical supply and materials terminology
  • 2) Strong information technology skills with a working knowledge of Lawson, MS Word, Excel and Crystal Reporting

  • 1) Ability to complete special projects in a timely fashion, and demonstrate creativity in gaining efficiencies in the Supply Chain environment

Compensation Note: The compensation range(s) in the table below represent the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries may vary by position and will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range. Pay ranges are listed as hourly for non-exempt employees and based on assumed full time commitment for exempt employees.

Minimum - Midpoint - Maximum $66,081.00 - $75,982.00 - $89,876.00
