Job summary

Theuniversityunion is seeking a part-time Seasonal Administrative Support in South Bend, IN to assist with supplier diversity initiatives. The role involves outreach, event coordination, data entry, and preparing materials for engagement with minority and women-owned business enterprises.

Qualifications

  • Current undergraduate or graduate student in good standing working toward a degree in Social Studies, Political Science, History, or Business Administration, or similar program.
  • Experience with Microsoft Word and Excel.

Responsibilities

  • Attend community events, trade shows, and networking functions to promote the City’s supplier diversity programs.
  • Assist in the creation and distribution of marketing and promotional materials for outreach campaigns.
  • Support the development of communication plans to engage diverse businesses and community partners.

Description
ESSENTIAL DUTIES AND RESPONSIBILITIES

Supplier Diversity Support
  • Assist in identifying and engaging potential M/WBEs for City procurement opportunities.
  • Support the organization and execution of workshops, webinars, and training sessions focused on supplier diversity.
  • Help maintain and update thesupplierdiversity database and track engagement metrics.
  • Assist in the development of educational materials and resources for M/WBEs.
  • Collaborate with the ODCI team to plan and implement outreach strategies to increase awareness of the City's diversity initiatives.
  • Attend community events, trade shows, and networking functions to promote the City’s supplier diversity programs.
  • Assist in the creation and distribution of marketing and promotional materials for outreach campaigns.
  • Support the development of communication plans to engage diverse businesses and community partners.
Administrative Support
  • Provide administrative assistance for meetings, including scheduling, preparing agendas, and taking minutes.
  • Assist with data entry, report generation, and analysis of supplier diversity program outcomes.
  • Support the coordination of the annual Supplier Diversity Summit and other key events.
Research and Analysis
  • Conduct research onbestpractices in supplier diversity and outreach within municipal government.
  • Assistin analyzing data related to M/WBE participation andhelpidentifyareas for improvement.
  • Support the preparation of reports and presentations on diversity and inclusion initiatives.
NON-ESSENTIAL/MARGINAL FUNCTIONS

Perform other duties and assume other responsibilities as requested.

EDUCATION / QUALIFICATIONS
  • Current undergraduate or graduate student in good standing working toward a degree in Social Studies, Political Science, History, or Business Administration, or similar program. Recent graduates will also be considered.
  • Experience with Microsoft Word and Excel.
KNOWLEDGE SKILLS AND ABILITIES
  • Currently enrolled in an undergraduate or graduate program, preferably in Public Administration, Business, Communications, Marketing or a related field.
  • Strong interest in diversity, equity, and inclusion, particularly in the context of public procurement and community engagement.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively in a team environment.
  • Strong organizational skills and attention to detail.
  • Experience with event planning or community outreach is a plus.
CERTIFICATES, LICENSE, REGISTRATION
  • Valid Driver’s license required.
