Job summary

McDermott Will & Schulte in Washington, DC, is seeking an Intellectual Property Project Assistant II to support the IP Prosecution, Transactions & Strategy practice. You will help with file organization, document creation, and basic docketing under supervision.

Responsibilities

  • Prepare time sensitive client reporting letters for USPTO actions and international IP matters.
  • Assist with invoice intake and billing through DMS and Chrome River.
  • Open new client matters with IP Practice Specialists and Information Governance.
  • Maintain and organize client folders in the DMS; upload/archive documents.
  • Download patent materials from the USPTO and assemble client files.
  • Assist with filing patent applications, information disclosure statements, and related fees.
  • Help with new client intake and transfers; prepare corrected formality documents for USPTO filings.
  • Review and update dockets daily; perform status checks.

This position assists with departmental file organization and maintenance as well as basic document creation. The Intellectual Property Project Assistant Project Assistant II works under immediate supervision and relies on instructions and pre-existing guidelines to perform the essential functions of the job.Essential Functions and Responsibilities:Prepare time sensitive client reporting letters for various U.S. Patent and Trademark Office (USPTO) actions and submissions and assist with client reporting for international IP mattersAssist with the invoice intake and billing process including saving files to the Firm’s document management system (DMS) and submitting through Chrome RiverCollaborate with IP Legal Practice Specialists/IP Filing Specialists and the Information Governance department to open new client mattersMaintain client folders within the DMS including uploading, organizing and archiving documentsDownload patent materials from the USPTO and compile client document filesReview various USPTO communications for accuracyUpload/download patent-related documents, correspondence, and data to and from client systems and databasesAssist IP Filing Specialists and IP Paralegals prepare and file patent applications, information disclosure statements, issue fee payments and fee address formsAssist with new client intake and transfersAssist IP Filing Specialist in preparing and filing US formality document with the USPTOAssist IP Filing Specialists in preparing corrected formality documents for filing with the USPTOReview and update dockets dailyAssist in performing status checksJob Specifications:High school diplomaAt least three (3 years of related work experienceKnowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint and Word)Strong written and verbal communication skillsStrong organizational skillsStrong attention to detailAbility to work effectively in a fast-paced environmentAbility to learn new concepts and skills quickly-Successful candidates will be provided with outstanding career opportunities and will receive a competitive total rewards package with the opportunity to earn performance-based bonuses. Target Hiring Range $59,000 - $86,000Please note that quoted salary ranges are not guarantees of what final salary offers may be. Base pay is based on market location and may vary depending on job-related knowledge, skills, experience, and geographic location. Base pay is only one part of the Total Rewards that MWS provides to compensate and recognize our staff professionals for their work.
