Job description

Hampton University Proton Cancer Institute (Hampton Proton) is the nation’s 8th proton therapy facility. This internship program offers students hands‑on experience in insurance authorization and verification within a proton therapy treatment setting.

Application Requirements

• Proof of being currently enrolled in a program of study or a recent graduate (within 12 months) from an accredited college/university or technical/vocational institution.
• Proof of good academic standing (unofficial transcripts acceptable).
• Proof of academic class schedule.
• Recent résumé and/or cover letter.
• Applicable course syllabus if academic credit will be applied.

Responsibilities

• Track incoming insurance authorizations and referrals.
• Record and log authorization numbers, expiration dates, and service coverage details.
• Communicate with insurance companies to verify patient coverage and benefit information.
• Follow up on pending authorizations to ensure timely processing and minimize delays.
• Update the office’s SmartBoard and/or dashboard system daily with relevant financial and insurance statuses.
• Input new patient authorizations, expirations, and outstanding items.
• Ensure displayed information is accurate, timely, and reflects current priorities.
• Coordinate with team members to flag urgent cases or missing documentation.
• Assist in verifying patient insurance coverage for upcoming services.
• Document verification results in the electronic health record (EHR) or other tracking systems.
• Accurately enter insurance and authorization information into internal databases.
• Maintain digital and/or paper records in compliance with privacy regulations (e.g., HIPAA).
• Generate basic reports on authorization trends, pending items, or insurance denials.
• Communicate effectively with billing teams, front desk staff, and clinicians regarding insurance status and requirements.
• Assist with general clerical tasks such as scanning, faxing, filing, and emailing.
• Participate in team meetings and provide status updates on authorization and SmartBoard tasks.
• Identify opportunities to streamline tracking and update procedures.
