Your Role:Sales Experience Required: You must have at least 2 years of sales experience.Part-Time Availability: Part-time shifts starting at 11:00 AM or later are preferred.PurposeThe Admissions Specialist is responsible for providing professional and effective communication with clients, families, and professionals. Effective communication is manifested in appropriate clients admitting into the appropriate program. They assist prospective clients throughout the admissions process, possess expert knowledge of our services, maintain positive relationships with clients, listen, answer questions, and follow up as needed. The Admissions Specialists also proactively contact clinical professionals and referents, both current and potential, and explain the services we offer and seek to secure referrals into our programs.Key Performance Indicators and ReportingAssigned monthly admissions, assessment scheduling, follow-up, conversion, and speed-to-contact goals are met.CRM documentation, opportunity stages, call notes, follow-up tasks, and handoff information maintain 95%+ accuracy.New inquiries and active opportunities are followed up according to department cadence until appropriately closed or admitted.Failed admissions stay below Company threshold through clear expectations and fit escalation.Program knowledge, admission criteria, treatment model, outcomes, and referral pathways are communicated accurately.Clinical, safety, payor, or financial questions are routed to the correct owner and documented.Upon achieving these key performance indicators, your supervisor will meet with you to review progress and collaborate on establishing new performance goals that reflect continued growth and excellence.Core CompetenciesDemonstrate strong role-specific knowledge, judgment, organization, and follow-through required for Admissions Specialist.Demonstrate clear communication, confidentiality, accountability, and ability to work in a fast-moving national organization.Demonstrate ability to use data, systems, scorecards, and written documentation to make work visible and repeatable.Demonstrate professional collaboration with leaders, peers, and cross-functional partners without creating duplicate ownership.Demonstrate calm urgency, sound judgment, and willingness to escalate risks before they become larger problems.Core Responsibilities - These duties may vary depending on job assignments and Company needs.Primary Role ExecutionRespond to inquiries by phone, email, text, portal, or approved channel.Listen to concerns, answer questions within scope, and explain the admissions process in clear language.Discuss program structure, treatment expectations, attendance requirements, general payment process, next steps, and assessment scheduling without overpromising.Systems, Reporting and QualitySchedule assessments, coordinate availability, and move opportunities through the CRM accurately.Identify barriers such as payor concerns, family hesitation, clinical fit questions, scheduling issues, or location capacity.Maintain accurate notes, referral source information, family preferences, next steps, and handoff information.Cross-Functional CollaborationPartner with assigned leaders and departments to keep handoffs clear, timely, documented, and aligned with Company priorities.Maintain clean records, trackers, SOPs, reports, and communication trails that support audits, diligence, training, and continuity.Escalate risks, unclear ownership, missing information, underperformance, compliance concerns, or client-impacting issues promptly.Required QualificationsHigh school diploma or equivalent required; bachelor degree preferred.1+ years of admissions, customer service, sales, behavioral health, healthcare intake, call center, or client-facing work preferred.Experience with CRM systems, phone systems, scheduling tools, or electronic documentation preferred.Must pass all required background checks and meet Company, privacy, security, licensure, payer, or regulatory requirements applicable to the role.Skills and ExpertiseVerbal and written communication, active listening, objection handling, follow-up, CRM documentation, task management, and compassionate urgency.Physical DemandsRegularly sit, stand, walk, talk, hear, type, and view computer screens for extended periods.Use standard office equipment including computer, phone, scanner, printer, video platform, secure systems, and shared drives.Communicate by phone, video, email, messaging, and in person with employees, clients, families, vendors, payers, providers, and internal departments as assigned.Occasionally lift or move office materials up to approximately 15 pounds, with reasonable accommodation as required by law.Maintain confidentiality while working with protected health information, employee information, financial information, and sensitive company records.DisclaimerOCD Anxiety Centers has not designed this job description to contain a comprehensive list of activities, duties, or responsibilities required of the employee.
