The Assistant IL Coordinator position is responsible for assisting the Campus Executive Director with the coordination of all IL on-site operations and achieving property operational objectives as defined by the campus management team.

ESSENTIAL RESPONSIBILITIES

  • Respond to telephone and in-person inquiries promptly and professionally.
  • Handle preparation and completion of all leases, resident notices; review lease paperwork with residents and explain property rules and regulations; ensure all lease paperwork is completed accurately. Conduct background checks and collect security deposits.
  • Prepare activity calendars, plan, and lead scheduled activities.
  • Implement the Enjoy Life program within the community.
  • Maintain all resident files, ensuring they are complete, accurate, and compliant with regulatory guidelines.
  • Work with the Campus Executive Director to maximize revenues and adhere to budgeted costs.
  • Produce weekly and monthly activity and operating reports related to occupancy and marketing efforts. Assist with sales and marketing plans in line with campus objectives.
  • Gather competitive data by visiting/calling competitors; maintain updated marketing information on market factors.
  • Prepare marketing materials, brochures, etc. Assist in scheduling, organizing, and hosting marketing and resident events to increase traffic and engagement.
  • Ensure all traffic, prospects, leasing, and renewal data is entered accurately and promptly into the property management software system.
  • Coordinate with the Finance Department to ensure timely rent collection and deposit, and accurate posting of revenue data. Ensure software data is complete for timely month-end reports.
  • Manage move-in and move-out procedures, coordinate with maintenance to prepare apartments for new residents.
  • Handle service requests from residents and coordinate with the team to resolve issues promptly and follow through.
  • Assist residents with laundry cards, safety pendants, phone charges, and other miscellaneous items.
  • Be on call for emergency duties and responsibilities; assume community responsibilities when the manager is unavailable.
  • Perform other duties as assigned.
