Responsibilities

  • Manages end-to-end administrative and event lifecycle of all In-Residence training courses, onboarding IMS from U.S. entry through graduation.
  • Plans and executes DoD Field Studies Program with local excursions, briefings, and institutional visits for IMS exposure to U.S. society.
  • Serves as primary institutional liaison for AFSAT, NETSAFA, SATFA, SCOs and other stakeholders; maintains compliant communication for federal reporting timelines.
  • Enforces DSCA, SAMM, IMET, FMF, and Section 333 regulations across course frameworks with audit-ready records.
  • Audits course expenditures, travel orders, and IMS per diem; submits requisitions for catering, venue, and materials.
  • Communicates with program staff, federal leads, facility managers, and vendors to align on-site support with program goals.
  • Supports research initiatives by managing student and alumni databases and evaluating tools for longitudinal improvements.
  • Analyzes course outcomes and costs to recommend process improvements and savings.
  • Performs other duties as assigned and participates in required training.

Join the HJF Team! HJF is seeking an In-Residence Course Coordinator to provide strategic oversight and leadership for the Health Security Cooperation Education and Training (HSCET) Program in support of the Uniformed Services University of the Health Sciences (USU) National Institute for Defense Health Cooperation (NIDHC). The HSCET In-Residence Course Coordinator coordinates the end-to-end administrative, logistical, and academic lifecycle for all in-residence training for the HSCET Program.

This position supports the U.S. Department of War and collaborates among six U.S. Departments to support military and civilian health operational readiness. NIDHC is an International Military Education & Training (IMET) certified schoolhouse providing Health Security Cooperation training.

Responsibilities
  • Manages the end-to-end administrative and event lifecycle of all In-Residence training courses, directing the onboarding, processing, and tracking of International Military Students (IMS) from U.S. entry through graduation.
  • Plans and executes all aspects of the DoD Field Studies Program (FSP), designing local cultural excursions, community briefings, and institutional visits to ensure IMS gain balanced exposure to U.S. society.
  • Serves as the primary institutional liaison for AFSAT, NETSAFA, SATFA, Security Cooperation Offices (SCO) in the U.S. Embassies-and other necessary stakeholders; maintains continuous, culturally competent communication to align IMS operations and meet federal reporting timelines.
  • Enforces strict compliance with DSCA, SAMM, IMET, FMF, and Section 333 regulations across all domestic course frameworks, maintaining audit‑ready instructor, guest speaker, and IMS records.
  • Audits and tracks course expenditures, local travel orders, and IMS per diem allotments; submits APAC and GPC requisitions for catering, venue space, and academic materials under supervisor direction.
  • Communicates regularly with internal program staff, federal leads, facility managers, and external vendors to align on‑site logistical support with program goals.
  • Supports research initiatives by managing current student and alumni databases, administering educational evaluation tools, and tracking longitudinal metrics to improve future course iterations.
  • Analyzes course outcomes, resource utilization, and student lessons learned to recommend structural process improvements and cost‑saving measures.
  • May perform other duties and responsibilities as assigned or directed by the supervisor. This may include attending and participating in required training for the role.
Qualifications

Education and Experience

  • Bachelor's Degree Required
  • Minimum of 6‑8 years experience required

Required Knowledge, Skills And Abilities

  • Proficiently coordinate complex academic networks simultaneously, with a working knowledge of military travel structures, international logistics, and DoW security cooperation training directives.
  • Strong interpersonal skills and a high degree of cultural competency required to support diverse international cohorts through complex domestic administrative processes, and communicate shifting visa or administrative timelines to technical teams.
  • Proven ability to work independently on routine tasks, pivot quickly under pressure, and exercise sound judgment to resolve emerging training, scheduling, or logistical issues.
  • Foundational knowledge of military organizational structures, security cooperation entities, and federal training command functions is highly preferred.
  • Strong understanding of higher‑education or federal training center administration, including course scheduling, speaker management, and classroom logistics.
  • High proficiency in digital knowledge management, data collection spreadsheets, and event management platforms.
  • Knowledge of conference and meeting industry standards and processes.
  • Skilled and able to negotiate for services and support.
  • Ability to communicate effectively, written and verbal.
  • Ability to work both independently and in a team environment.
  • Ability to obtain and maintain a T1 Public Trust background check.
Physical Capabilities
  • Lifting: Requires lifting materials up to 25 lbs.
  • Ability to stand or sit at a computer for prolonged periods
Licenses and Certifications
  • Certified Meeting Professional (Events Industry Council) or equivalent preferred
Work Environment
  • This position will take place primarily in an office setting.
Compensation
  • The annual salary range for this position is $67,500-$97,500. Actual salary will be determined based on experience, education, etc.
