Job summary

The Gill Corporation, based in El Monte, CA, is seeking an HR Coordinator to provide administrative support to the human resources function. This temporary assignment handles record-keeping, file maintenance and HRIS entry, reporting to the HR Manager.

Responsibilities include onboarding, I-9 forms, benefits processing support, coordinating trainings, updating posters, submitting invoices, and assisting with events.

Qualifications

  • Bachelor’s Degree in Business Administration or related field preferred.
  • Excellent PC knowledge – Word and Excel.
  • Prior administrative work experience.
  • Must be bilingual (English/Spanish).

Responsibilities

  • Performs customer service functions for the department-answers telephones, greets visitors, assists employees and management with questions and/or concerns.
  • Conducts new hire orientation and enters information into various departmental systems including Paycom, and SAP, etc.
  • Completes I-9 forms, verifies I-9 documentation and maintains I-9 files.
  • Performs routine filing, scanning, and archiving of records to ensure record retention compliance.
  • Processes employee referral incentives.
  • Supports Lead Trainer and EHS Manager by running monthly reports, and enters supporting data on PayCom
  • Responsible for updates of labor law posters, corporate memos and distribution of Company Newsletter.
  • Orders flowers for employees (Bereavement, Feel Well, New Arrival etc)
  • Oversees Covid cases following county/OSHA guidelines
  • Processes subpoena requests communicating with legal contracts manager
  • Maintain ID badge system access and issuing/tracking temporary badges.
  • Processes invoices (Concentra clinic, Redwing Shoes, Lens crafters safety glasses)
  • Submits direct deposit requests to the finance department
  • Participates in coordinating corporate events, and other employee related activities.
  • Facilitate exit interview process for resignations- preparing paperwork, conducting exit interview, processing exit checklist.
  • Emails new hire announcement to all employees
  • Coordinates uniform requests for new hires, once they meet their 30-days of employment
  • Requests 90-Day certifications from manager/supervisor to verify training as a quality standard
  • Process EDD Unemployment/Disability forms.
  • Facilitate and work with third party on annual 401k audit
  • Coordinate yearly Flu Shot events or other wellness Events as needed
  • Manage Employee T-Shirt purchase program
  • Maintains accuracy of OSHA Log Injuries
  • Ensures Workers Compensation Administration including reporting recordable injuries to WC carrier and all follow up appointments and needs for work accommodation for any injuries is done accurately and timely. Facilitates WC process for injured employee acting as liaison between WC carrier and employee.
  • Assists with and/or prepares correspondence as requested.
  • Other essential duties may be assigned.

The company also excels in many other types of reinforced plastics including interior sandwich panels for creating structures such as aircraft galleys and bulkheads, honeycomb core and related products.

The Gill Corporation is seeking an HR Coordinator to provide administrative support to the human resource function as needed. Including record-keeping, file maintenance and HRIS entry. This role isa temporary assignment expected to last up to six months, based on business needs.

Reporting to the HR Manager, they will perform but not be limited to the following responsibilities.
