Job summary

American Eagle Outfitters is seeking an HR Coordinator to support Pittsburgh-based HR teams, ensuring effective programs and communication. The role offers exposure to onboarding, policy administration, and payroll-related processes in a fast-paced corporate environment.

The candidate will partner with HR Managers, participate in organizational training, and help manage headcount reporting, benefits, and employee relations across the Pittsburgh site.

Qualifications

  • Bachelor’s degree in Business Administration, Human Resources Management, Organizational Development, Communication, Psychology or related field preferred.
  • 2+ years of administrative HR experience preferred.
  • Excellent communication and organizational skills.
  • Proficiency with MS Office and HR information systems.

Responsibilities

  • Coordinate HR initiatives with HR Business Partners.
  • Assist in onboarding new Associates with hiring managers and recruiters.
  • Support performance management communications and training materials.
  • Monitor contingent and temporary staff usage and policy adherence.
  • Maintain bi-weekly finance meetings for temporary headcount budgeting.
  • Manage associate exit processes and feedback reporting.
  • Update organizational charts and HRIS for headcount visibility.
  • Prepare training materials and facilitate sessions.
  • ProvideBenefits, payout, PTO policy guidance to associates.
  • Support file maintenance, invoicing, scheduling and meeting minutes.
  • Oversee hiring of contract conversions end-to-end.
  • Maintain overtime reports and ensure leave return processes.
  • Support office engagement activities and in-person events at Pittsburgh HQ.
  • Provide recruiting support as needed.

Get to Know the Role:

We are seeking an HR Coordinator to provide support and assistance to the Pittsburgh Based Human Resources Teams, while ensuring effectiveness and efficiency of HR programs, initiatives and communication. This role is a great opportunity to learn and master HR fundamental skills, while building business acumen within a fast-paced corporate environment.


What You’ll Do:


  • Assist HR Business Partner team with coordination of all HR initiatives.

  • Assist and support the coordination of all internal movement, inclusive of coordinating job descriptions with the hiring manager and compensation, requesting of compensation proposals, preparing weekly offer log submissions and creation of compensation profiles.

  • Support On-Boarding of new Associates through partnership with Onboarding, Recruiting and Hiring Managers on new hire set up, paperwork and facilitations of check-ins with Associates and Managers on experience; record & report findings and results.

  • Directly support the company’s Performance Management Program and assist with communication to Departments on related process, training and materials.

  • Own and monitor contingent and temporary worker usage and ensure adherence to contingent labor policy through administrative support in the Vendor Management System (VMS- System One). Ensure proper submission of approval forms, IT requests, in partnership with hiring managers.

  • Maintain and own consistent finance meetings on a bi-weekly cadence to ensure temporary work is within budget.

  • Own the Associate exit process through scheduling and conducting of exit interviews, coordinating paperwork, tracking of exit feedback and partnering with appropriate HR Manager on communication of feedback to department Executives and Leaders.

  • Maintain Organizational Charts for Departments supported and execute needed alignment changes in the HRIS system to ensure accurate visibility and reporting on headcount and budget.

  • Assist HR Managers in organizational training efforts such as preparing training materials, room set up, participant tracking and facilitation support.

  • Act as a resource for Associates and Management on company practices and policies relating to benefits, pay, PTO, status changes and other administrative functions.

  • Assist HR Managers with administrative functions including but not limited to department and associate file maintenance, copying, faxing, assembling packets and materials, invoice follow-up, ordering supplies, scheduling, coordinating meetings and maintaining meeting minutes as needed.

  • Own and manage the hiring process of contract conversions from start to finish.

  • Maintain bi-weekly Overtime Reports.

  • Responsible for ensuring Associates on a leave of absence return into the business smoothly.

  • Responsible for maintaining the Pittsburgh office Engagement by providing presence and on the ground support for the Pittsburgh HR Teams Office (i.e. company events, initiatives & seating).

  • Provide recruiting support on an as needed basis.

  • Required to be in the Pittsburgh Office at least two-three days per week.

  • Additional responsibilities and special projects as assigned.


What You Bring:


  • Bachelor’s degree in Business Administration, Human Resources Management, Organizational Development, Communication, Psychology or related field of study preferred.

  • 2+ years of experience preferred in an administrative position involving HR related work.

  • Outgoing and gregarious, enjoys interacting with a variety of people.

  • Self-motivated with critical attention to detail, deadlines and reporting.

  • Prior experience with an HRIS system preferred.

  • Handle proprietary and non-routine information with utmost confidentiality.

  • High degree of proficiency MS Office Suite, Outlook & Internet applications.

  • Strong verbal and written communication skills.

  • Exceptional customer service demonstrated through positive actions.

  • Ability to prioritize and manage time effectively.

  • Ability to work in a fast-paced and deadline-oriented environment.

  • Demonstrated collaborative skills and ability to work well within a team.
