  • Assist in pre-employment steps and background checks as needed.

Job description

The Human Resources Coordinator provides comprehensive clerical, administrative, event, employee support, and campus store assistance within the Human Resources department. This position serves as a welcoming point of contact for students, faculty, staff, applicants, vendors, and external partners and requires an elevated level of professionalism, organization, discretion, and customer service.

Essential Functions
Clerical and Administrative Support
  • Responds to routine inquiries received by email and telephone and routes questions or correspondence to the appropriate individual or department.
  • Processes, distributes, scans, copies, and maintains departmental correspondence and documentation (including incoming and outgoing mail).
  • Partners with Maintenance to coordinate and maintain campus key records and distribution.
  • Maintains and organizes employee documentation and files in accordance with established HR practices and confidentiality requirements.
  • Prepares and assembles benefits, onboarding, and new-hire materials.
  • Maintains department forms and coordinates printing and document orders as needed.
  • Orders and maintains office and departmental supplies.
  • Distributes and maintains required federal and state workplace postings throughout campus to support Washington State and multi-state compliance.
  • Updates staff and faculty demographic information and personnel data as needed.
  • Assists with the administration and coordination of the University's volunteer program.
  • Processes and maintains records related to departing employees in accordance with established procedures.
  • Assists with maintaining/updating the Human Resources section of the Eagle website.
  • Supports the Employee Transportation Program, including:
    • Maintaining employee transportation communications, information, and compliance (including forwarding METRO correspondence to community).
    • Coordinating the biennial Commute Trip Reduction (CTR) report and employee survey for King County.
    • Participating in Employee Transportation Coordinator meetings with King County, as needed.
Employee Records and Hiring Support
  • Assists with establishing and maintaining job files and preparing candidate communications, including regret notices.
  • Assists with preparing job postings and distributing employment opportunities to churches and the NU community.
  • Assists in receiving, processing, and distributing employment applications.
  • Assists with pre-employment requirements, which may include reference checks, background screenings, and other employment-related checks.
  • Assists in processing and maintaining personnel files for current and former employees.
  • Accurately updates information in the Human Resources Information System (HRIS).
  • Assists with coordinating and conducting new-hire orientations for students, staff, and adjunct faculty, as needed.
  • Assists with other employee recordkeeping and employment-related administrative processes as assigned.
Campus Store Support
  • Provides support for campus store (SwoopShop) operations, including processing merchandise transactions and assisting customers with purchases.
  • Provides friendly, professional, and responsive customer service to students, employees, families, and other campus customers.
  • Maintains an organized, clean, and welcoming store environment.
  • Assisting with inventory processing, preparation, stocking, and organization.
  • Assists with cross-functional support for campus activities that may include evenings/weekends involving SwoopShop.
  • Performs other SwoopShop duties as assigned.
Event and Employee Engagement Support
  • Assists with planning, coordinating, and supporting Human Resources events and employee engagement initiatives, including Open Enrollment, Staff Professional Development and Appreciation Day, the Service Award Luncheon, Employee BBQ, and other employee appreciation activities.
  • Supports employee wellness initiatives and related programming.
  • Participates in planning and coordinating CFO team activities.
  • Assists with other campus-wide events and employee engagement initiatives as assigned.
Other Functions
  • Performs other work-related duties, responsibilities, and special projects, as assigned.
Education/Experience/Skills
  • Minimum of two years of experience in a related field.
  • Enthusiasm for engaging with and supporting the NU community.
  • Commitment and ability to support the mission, values, and culture of NU.
  • Ability to maintain strict confidentiality and exercise sound judgement when handling sensitive employee, applicant, and organizational information.
  • Self-directed, adaptable, and comfortable working in an environment where priorities may shift and interruptions are frequent.
  • Strong organizational and time-management skills, with the ability to prioritize competing responsibilities and meet deadlines.
  • Excellent verbal, written, analytical, and interpersonal communication skills.
  • Exceptional attention to detail and demonstrated commitment to accuracy and follow-through.
  • Proficiency with Adobe and Microsoft 365 applications, including Outlook, SharePoint, Word, Excel, PowerPoint, and Teams.
  • Proficiency with, or the ability to quickly learn, HRIS platforms (preferably ADP) and other HR and business applications.
  • Demonstrated commitment to maintaining a safe and respectful work environment free from harassment, violence, and unlawful discrimination.
  • Strong customer service skills and the ability to interact professionally and effectively with applicants, employees, students, vendors, and external organizations.
  • Work is primarily performed indoors in a standard office environment.
  • Occasional evening or weekend work may be required to support department functions, university events, and SwoopShop activities.
  • The position regularly handles confidential and sensitive information and requires discretion and professionalism.
  • Frequent use of a computer and other office technology is required, including extended periods of screen time.
  • The position requires regular interaction with members of the university community and external partners.
Physical Demands

The functions are generally performed while seated, but may require periods of standing, stooping, kneeling, bending, lifting (max. of 40 lbs.), walking, carrying, reaching, stretching, performing repetitive motions of the hands or wrists and other movements. The position also requires the ability to see, hear, speak, and communicate effectively in person and through electronic and telephone communications.

Compensation

Based on education and experience, the position has a hiring range of $20.50/hour to $22.00/hour plus excellent benefits.
