Responsibilities

  • Provide day-to-day administrative and operational support to HR staff.

  • Process routine HR transactions in HR systems (new hires, terminations, changes, promotions).
  • Assist with employment verifications and documentation requests.
  • Assist with I-9 verification and E-Verify processing and records.
  • Prepare HR correspondence, forms, letters, and communications using templates.
  • Maintain electronic personnel records and filing in systems.
  • Support benefits invoice reconciliation and eligibility checks.
  • Track completion of corporate, compliance, and employee training.
  • Assist with performance review tracking and recurring HR processes.
  • Maintain HR trackers, calendars, reports and deadlines.
  • Assist with HR audits, document reviews, and records maintenance.
  • Support distribution of HR announcements and internal communications.
  • Assist with HR projects by gathering information and coordinating with stakeholders.
  • Maintain strict confidentiality of information.
  • Perform other duties as assigned.

Job description

GTSC seeks a Human Resources Assistant for its Chantilly, Virginia headquarters office.

The HR Assistant provides administrative and operational support across the Human Resources department. This position is designed to serve as a flexible resource to the HR team, assisting with day-to-day HR activities, employee communications, benefits administration, onboarding and offboarding, HR systems and records, compliance tracking, training coordination, and other departmental initiatives.

The HR Assistant will work closely with members of the HR team and will be exposed to multiple areas of Human Resources. Responsibilities may shift based on departmental priorities, making this position well suited for someone who is organized, adaptable, eager to learn, and comfortable supporting multiple projects and stakeholders at the same time.

Responsibilities:
  1. Provide day-to-day administrative and operational support to members of the Human Resources department.
  2. Monitor HR inboxes and respond to routine employee inquiries or route questions to the appropriate HR team member.
  3. Assist with employee onboarding and offboarding activities, including coordinating required documentation, systems activities, and communications.
  4. Process routine employee transactions and data changes within HR systems, including new hires, terminations, status changes, promotions, and other personnel updates.
  5. Assist with employment verifications and other routine employee documentation requests.
  6. Assist with I-9 verification and E-Verify processing and maintain associated records.
  7. Prepare routine HR correspondence, forms, letters, and employee communications using established templates and guidance.
  8. Assist with maintaining accurate electronic personnel records and filing HR documentation in appropriate systems and repositories.
  9. Support benefits invoice reconciliation by reviewing employee eligibility and coverage information and assisting with the identification and resolution of discrepancies.
  10. Track completion of required corporate, compliance, and employee training.
  11. Assist with tracking performance review activities and other recurring HR processes.
  12. Maintain HR trackers, spreadsheets, reports, calendars, and other tools used to monitor departmental activities and deadlines.
  13. Assist with HR compliance audits, document reviews, and records maintenance under the direction of HR staff.
  14. Support preparation and distribution of HR announcements, presentations, newsletters, employee resources, and other internal communications.
  15. Assist with HR projects and initiatives by gathering information, organizing materials, tracking action items, scheduling activities, and following up with stakeholders.
  16. Maintain strict confidentiality of employee, company, and proprietary information.
  17. Perform other duties as assigned.
Skills and Experience:
  1. Bachelor's degree in Human Resources, Communications, Business Administration, Organizational Development, or a related field highly preferred.
  2. 1–2 years of professional experience; previous HR, administrative, communications, internship, or office experience.
  3. Strong written and verbal communication skills, including the ability to draft clear and professional employee communications without error.
  4. Strong organizational skills with the ability to manage multiple assignments, deadlines, and follow-up items.
  5. High attention to detail and commitment to accuracy.
  6. Ability to learn new systems, processes, and HR concepts quickly.
  7. Ability to exercise good judgment and recognize when a question or issue should be escalated to another member of the HR team.
  8. Ability to handle confidential and sensitive information with discretion and professionalism.
  9. Comfortable communicating with employees, managers, vendors, and other internal and external stakeholders.
  10. Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  11. Familiarity with HRIS, ATS, SharePoint, or similar business systems is preferred but not required.
  12. Ability to work independently on assigned tasks while also functioning effectively as part of a collaborative HR team.
Physical Requirements:
  1. Ability to commute and work in-office daily.
  2. Prolonged periods sitting at a desk and working on a computer.
  3. Occasionally required to lift files, open filing cabinets, and bend or stand as necessary.
  4. Must be able to communicate effectively in both in-person and virtual work environments.
  5. Ability to manage repetitive tasks and maintain focus in a fast-paced, deadline-driven environment.
