Job summary

Patriot Contract Services, Llc is seeking an HSQE Assistant to manage day-to-day Docmap administration, incident workflow follow-up, and environmental program tracking. The role applies maritime technical experience to safety and quality management system improvements aboard and ashore.

You will train shipboard and shore personnel, generate aging and status reports, and coordinate with various departments to ensure timely actions.

Qualifications

• Operational marine background in deck or engineering or equivalent maritime experience.
• Working knowledge of ISM and ISPS systems, shipboard safety practices, and environmental requirements.
• Ability to manage multiple reporting and corrective-action workflows with accurate records and timely escalation.
• Proficiency in Microsoft Office and ship management or document-control systems; strong written and spoken English.
• Ability to collaborate across time zones with vessels, fleet managers, Compliance, IT, and HSQE leadership.

Responsibilities

• Own day-to-day Docmap administration for the Documents, Reports, and Incidents modules.
• Provide Docmap access guidance and training to shipboard and shore personnel.
• Monitor aging and status reports for documents, ship reports, incidents, actions; escalate as needed.
• Support SQMS administration and update procedures, risk assessments, and technical content.
• Support incident reporting and investigations; participate in the Incident Response Team when activated.
• Maintain environmental and response program oversight, including SEEMP, VGP, and OSRO/SMFF status.
• Coordinate SIRE inspection scheduling and reporting in Docmap; liaise with fleet and Operations.
• Facilitate communication among MARAD, MSC, and vessel programs on HSQE requirements.
• Provide safety guidance and training; refer complex decisions to HSQE Manager as appropriate.
• Coordinate with US Coast Guard, Class, Flag, customers, and vendors on HSQE matters as requested.
• Review and validate non-hosting Docmap invoices and licenses with IT and HSQE Manager.
