This role serves as a key administrative partner to the HSE team and field leadership by helping manage safety records, certifications, incident documentation, and regulatory reporting requirements. The HSE Administrator helps ensure the company maintains compliance with OSHA, environmental regulations, and internal safety standards while supporting Fiore’s culture of safety, accountability, and continuous improvement.

The ideal candidate is highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities and communicate effectively with employees at all levels of the organization.

Compensation

TOTAL COMPENSATION

$26.83 to $37.60 per hour

Actual compensation will be based on experience, qualifications, and internal equity.

Essential Duties and Responsibilities

Safety Documentation & Recordkeeping

  • Maintain accurate safety and production records by entering data into company systems to support reporting, trend analysis, and operational tracking.
  • Maintain organized digital and physical filing systems for safety documentation, including near-miss reports, hazard identification reports, vehicle inspections, and incident records.
  • Ensure all safety documentation is complete, accurate, and maintained in accordance with company policies and regulatory requirements.
  • Assist with tracking and maintaining OSHA logs, safety certifications, and other compliance documentation.
  • Maintain safety records to support internal reporting, regulatory compliance, and project documentation needs.

Incident, Inspection & Compliance Support

  • Assist with the preparation, documentation, and tracking of incident reports, investigations, and corrective actions.
  • Maintain accurate records related to safety inspections, vehicle inspections, and compliance documentation.
  • Support stormwater inspection activities to help ensure job site compliance with applicable environmental regulations.
  • Assist with managing permit-related documentation, including supporting COLO 811 locate coordination to ensure projects meet regulatory and safety requirements.

Training & Safety Program Coordination

  • Support the coordination of safety training schedules including new hire orientation, required certifications, and recurring safety training.
  • Track training completion and proactively communicate upcoming expirations or recertification requirements.
  • Prepare training materials, organize meeting spaces, and assist with logistical coordination for safety training programs.
  • Support the coordination and execution of company safety events, campaigns, and recognition initiatives that reinforce a positive safety culture.

Communication & Meeting Support

  • Assist in the development, preparation, and distribution of safety-related communications to employees and relevant stakeholders.
  • Participate in safety meetings and safety program discussions, capturing detailed notes and ensuring accurate documentation and distribution of meeting materials.
  • Serve as a point of contact for employees seeking information regarding safety documentation, training records, or compliance requirements.

Administrative & Operational Support

  • Perform general administrative duties including printing, scanning, filing, correspondence, and coordinating with employees or project teams to gather necessary documentation.
  • Assist the Safety Director and HSE team with clerical, documentation, and coordination tasks to support the successful implementation of safety programs.
  • Support the preparation of safety reports, documentation summaries, and administrative materials used by leadership and operational teams.
Qualifications
  • Superb attention to detail and accuracy in recordkeeping and documentation
  • Strong verbal and written communication skills, with the ability to communicate effectively with individuals at all levels of the organization
  • Exceptional organizational and time management skills
  • Initiative and ownership with the ability to work independently as well as in a dynamic, team-based environment
  • Excellent EQ and interpersonal skills with the ability to provide exceptional customer service to all stakeholders
  • Basic knowledge of MS Word, Outlook and Excel Spreadsheets with general technical literacy.
  • Construction industry experience preferred
  • Valid driver’s license
  • Willing to learn software to capture data and attend continuing education courses.
  • Bilingual in English and Spanish is a plus
  • Previous experience in an administrative or clerical role is a plus
Education and/or Experience
  • Required: High School education with basic clerical skills.
Physical Demands
  • Primary functions require the physical ability and mobility to work in an office and stand or sit for prolonged periods of time. Occasional bend, kneel, crouch, reach, and twist; to lift, carry or push, and/or pull light to moderate amounts of weight not to exceed 30 pounds. Some outdoor activity to support field activities is expected; ability to stand or walk for extended periods of time on various terrain, including slopes and uneven ground. The position requires the operation of office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard; and verbally communicate to exchange information.
