Overview
Position Title: HR/Office Assistant - Executive
Location: Owensboro, KY
The HR & Administrative Assistant will serve as the first point of contact in a high-traffic administrative office, supporting both the C-Suite and the Human Resources Department. This position provides clerical and office support while also assisting HR with key functions, with a primary focus on employee onboarding. The role requires professionalism, organization, and strong communication skills. Candidates with prior HR experience or post-secondary education in business, human resources, or a related field are strongly preferred.
Essential Functions:
HR Support
- Communicate thoroughly with applicants and new hires during the pre-employment process.
- Assist with the onboarding process by preparing new hire packets, collecting required I9 documentation, and assisting with completing end-of-day onboarding tasks for new hires.
- Ensure all pre-hire and internal transfer requirements are complete and uploaded in the HRIS system, including drug screenings, background checks, proof of education, position/program-specific compliance items, etc.,
- Items will be marked completed and accurately documented on the HR tracking sheet.
- Organize employee photos for HRIS/IT systems.
- Will arrange pickup times and employee signatures for ID badges.
- Update and maintain employee personnel files and electronic HR records along with any reports and/or data entry.
- Assist HR with arranging Employee Appreciation Month activities, including awards and giveaways, and track distribution by collecting employee signatures on tracking sheets.
Administrative & Office Support
- Perform clerical duties including typing, filing, managing correspondence, and maintaining electronic organization of files.
- Answer and route phone calls; take messages as needed.
- Greet and escort guests, vendors, and interviewees throughout Rivervalley Center.
- Will require signatures and tracking for Vendor ID badges.
- Assist the Purchasing Specialist with receiving and delivering supplies/equipment when needed.
- Receive and track Monthly Preventative Maintenance Reports for facilities.
- Assist with scheduling and tracking Safety Drills and reports.
- Provide courteous, professional service while maintaining a positive and respectful manner with all clients, staff, coworkers, and visitors.
- Perform other duties as assigned.
Qualifications
Education and Experience:
- High School Diploma or GED required. Some college coursework or a degree in Business, Human Resources, or a related field preferred.
- At least 1 year of office or administrative experience required; HR support experience strongly preferred.
- Knowledge of general office practices and HR processes helpful.
- Strong organizational skills, attention to detail, and the ability to manage multiple tasks.
- Demonstrated professionalism, confidentiality, and positive interpersonal skills.
