Job summary

vVARDIS, a Swiss-based oral health company, is seeking a US-based HR Generalist to support onboarding, employee relations, performance management, benefits, and leave administration from the Miami area. You will partner with managers to drive compliant, engaging HR programs and maintain accurate personnel records.

Responsibilities include onboarding/offboarding, policy guidance, HRIS maintenance, recruitment coordination, and confidentiality in a fast-growing, international environment.

Qualifications

  • Bachelor's degree or equivalent professional experience in HR/related field.
  • Practical understanding of U.S. HR practices and employment law fundamentals.
  • Experience supporting onboarding, employee relations, performance management, benefits, and HR operations.
  • Experience maintaining employee records in HRIS and coordinating recruitment.
  • Strong communication and interpersonal skills.
  • Ability to work independently with confidentiality.

Responsibilities

  • Coordinate employee offboarding activities and ensure proper documentation and communications.
  • Serve as day-to-day HR contact for employees and managers within the territory.
  • Assist in performance management processes, including reviews, documentation, and follow-ups.
  • Support managers with HR policy guidance, attendance, and workplace matters.
  • Coordinate recruitment logistics and offer/pre-employment documentation.
  • Maintain accurate HR records and support HR reporting and data requests.
  • Support benefits enrollment and leave administration within the territory.
  • Ensure local compliance with federal, state, and local requirements.

Key Responsibilities
Employee Onboarding & New Hire Orientation
  • Coordinate the employee onboarding process for new hires within the assigned territory.
  • Ensure required employment documentation, HRIS information, and onboarding activities are completed accurately and on time.
  • Conduct or coordinate new hire orientation and provide employees with an effective introduction to vVARDIS, its culture, policies, benefits, and HR processes.
  • Partner with hiring managers and internal stakeholders to support a smooth new hire experience.
  • Monitor completion of onboarding tasks and follow up on outstanding items.
Offboarding
  • Coordinate employee offboarding activities, including required documentation, system updates, benefit notifications, return of company property, and internal communications.
  • Support managers and employees throughout the termination or resignation process.
  • Ensure offboarding steps are completed consistently and in accordance with company procedures and applicable requirements.
  • Escalate complex or sensitive terminations to the HR Manager.
Employee Relations - Day-to-Day Support
  • Serve as the primary day-to-day HR contact for employees and managers within the assigned territory.
  • Respond to employee questions regarding policies, procedures, workplace matters, benefits, leave, and other HR topics.
  • Provide practical and consistent guidance to managers on routine employee matters.
  • Support the resolution of day-to-day employee relations concerns while maintaining professionalism, discretion, and confidentiality.
  • Document employee relations matters appropriately and elevate complex, high-risk, or sensitive matters to the HR Manager.
Performance Management Support
  • Support the administration of performance management processes, including review cycles, goal setting, documentation, and follow-up.
  • Assist managers with preparing for performance discussions and providing clear, constructive feedback.
  • Support performance improvement processes under the direction of the HR Manager.
  • Track deadlines and required documentation related to performance management activities.
Manager Coaching & Support
  • Provide day-to-day guidance to managers regarding routine people-management questions and HR processes.
  • Help managers navigate company policies, employee conversations, attendance concerns, performance expectations, and other common workplace matters.
  • Identify situations requiring additional HR expertise and elevate appropriately to the HR Manager.
  • Support the recruitment process in partnership with the HR Manager, recruiters and hiring managers.
  • Coordinate job postings, candidate communications, interview scheduling, and recruitment logistics.
  • Support preparation and administration of offer and pre-employment documentation as needed.
  • Maintain accurate candidate and recruitment records.
Benefits Support
  • Assist employees with benefit enrollment processes, qualifying life events, and general benefit navigation.
  • Liaise with benefits providers and internal HR colleagues as needed to resolve employee questions.
  • Escalate complex plan or eligibility issues to the HR Manager or appropriate external partner.
Leave Administration
  • Coordinate employee leave administration for the assigned territory, including routine federal, state, and company leave processes.
  • Provide employees and managers with required information, forms, and process guidance.
  • Track leave dates, documentation, and return-to-work requirements.
  • Maintain appropriate confidentiality of employee information.
  • Partner with the HR Manager and external providers or counsel on complex leave matters when required.
HRIS & Employee Records
  • Maintain accurate and timely employee data within HR systems for the assigned territory.
  • Process employee changes, including new hires, transfers, job changes, manager changes, leaves, and terminations.
  • Maintain accurate personnel records and ensure required documentation is appropriately filed.
  • Conduct routine data checks to identify and correct discrepancies.
  • Support HR reporting and data requests as needed.
Local Compliance
  • Support compliance with applicable federal, state, and local employment requirements within the assigned territory.
  • Help ensure required workplace notices, employee documentation, and HR processes are maintained appropriately.
  • Stay informed of relevant local employment requirements and raise potential changes or issues to the HR Manager.
  • Support implementation of updated policies or processes as directed.
  • Escalate legal or complex compliance questions rather than independently interpreting legal requirements.
Employee Engagement
  • Gather employee feedback and identify recurring themes or opportunities for improvement.
  • Help reinforce vVARDIS values and contribute to a positive, inclusive, and collaborative workplace culture.
General HR Support
  • Support HR projects and initiatives as assigned by the HR Manager.
  • Assist with HR communications, reporting, audits, and documentation.
  • Identify opportunities to improve day-to-day HR processes and employee experience.
  • Provide back-up HR support where needed.
Qualifications & Experience
  • Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent relevant professional experience.
  • Approximately 3-5 years of progressive HR experience, ideally in an HR Generalist, HR Coordinator, HR Specialist, or similar hands-on role.
  • Practical understanding of U.S. HR practices and employment law fundamentals.
  • Experience supporting employee onboarding, employee relations, performance management, benefits, leave administration, and HR operations.
  • Experience working with HRIS platforms and maintaining employee records.
  • Experience supporting recruiting and interview coordination.
  • Strong proficiency in Microsoft 365 applications.
  • Experience working in a fast-paced, growing, or international organization is preferred.
  • Strong interpersonal and relationship-building skills.
  • Approachable, service-oriented, and comfortable supporting employees and managers at all levels.
  • Excellent organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong attention to detail and commitment to accurate documentation.
  • Clear and professional written and verbal communication skills.
  • Sound judgment and ability to recognize when an issue should be escalated.
  • High level of discretion and confidentiality when handling employee information.
  • Ability to work independently while maintaining close alignment with the HR Manager.
