Job Summary
The HR Generalist is an entry-level human resources professional who supports day-to-day HR functions across the full employee lifecycle. Reporting to the Director of Human Resources/ITPSO, who sets direction and makes final decisions on HR matters, this role assists with onboarding and offboarding, recruiting coordination, HRIS data entry, benefits and leave administration, employee relations support, and HR compliance. The HR Generalist I serves as a friendly, reliable resource for employees, answers routine questions, and escalates issues to the Director as appropriate. The ideal candidate is detail-oriented, maintains strict confidentiality, is eager to learn, and can manage multiple tasks in a fast-paced environment. This role offers the opportunity to grow into a fully independent HR Generalist.
Key Responsibilities
Employee Lifecycle & HR Operations
- Coordinate onboarding and offboarding activities, including preparing new hire paperwork, scheduling and assisting with orientation, and processing exit documentation under the Director's guidance.
- Maintain accurate employee personnel files, digital records, and compliance documents in accordance with company policy and regulatory requirements.
- Enter HRIS transactions (new hires, status changes, terminations) as approved by the Director, and run standard reports as requested.
- Assist with timekeeping and attendance processes, helping payroll research and resolve discrepancies.
Recruiting & Hiring
- Support recruiting activities, including posting approved job openings, managing applicant tracking, scheduling interviews, communicating with candidates, and coordinating reference checks and pre-employment screenings.
- Assist the Director and hiring managers with job description updates, interview materials, and tracking hiring metrics.
Employee Relations
- Serve as a point of contact for routine employee questions about policies, benefits, and procedures; elevate concerns, complaints, and sensitive matters to the Director.
- Assist the Director with workplace investigations by scheduling meetings, taking notes, and organizing documentation.
- Help track performance review cycles and probationary reviews, and prepare corrective action documentation as directed.
Benefits & Leave Administration
- Assist employees with benefits enrollment, changes, and general questions; help coordinate open enrollment logistics.
- Support the Director in administering leaves of absence (FMLA/CFRA), workers' compensation claims, and return-to-work processes, including tracking dates, sending notices, and maintaining records.
Compliance & Policy
- Help maintain compliance with federal, state, and local employment laws, including California-specific requirements, by following established procedures and flagging potential issues to the Director.
- Complete and maintain I-9s, keep employee files audit-ready, update required workplace postings, and gather data for regulatory filings (e.g., EEO-1, CA Pay Data Report).
- Prepare and distribute HR communications; assist with policy updates and employee handbook maintenance as directed.
Engagement, Culture & Team Support
- Help plan and coordinate employee events, recognition programs, training logistics, and culture initiatives.
- Support companywide initiatives and cross-departmental projects as assigned.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field (preferred); equivalent combination of education and experience considered.
- 2+ years of HR experience; internship, HR assistant, or HR coordinator experience is a plus.
- Basic understanding of HR principles and a willingness to learn federal and California employment law (e.g., FMLA, CFRA, ADA, FLSA).
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with an HRIS, especially Paylocity, is a plus.
- Strong attention to detail and organizational skills, with the ability to handle confidential information with discretion.
- Interest in pursuing an aPHR, SHRM-CP, or PHR certification.
Physical Requirements
- Primarily office-based environment with standard computer workstation use.
- Must be able to sit, stand, and operate standard office equipment for extended periods.
- Capable of standing, bending, and lifting up to 10 lbs occasionally (e.g., event setup, file management).
