Job summary

San Francisco-Marin Food Bank is hiring an HR Analyst (Payroll) toJoin our People, Culture & Equity team. The role handles payroll processing, HRIS data maintenance, and employee lifecycle administration. You will support reporting, audits, and routine inquiries while escalating complex issues to the HR Manager, Operations.

The position is hybrid, with 4 days onsite and 1 day remote, and requires 3+ years in payroll/HR operations. A bachelor's degree or equivalent experience is expected.

Qualifications

  • Bachelor's degree or equivalent experience in HR, business, or related field.
  • 3+ years of payroll, HR operations, HRIS, or HR administration experience.
  • Experience with Paycom or similar HRIS preferred.

Responsibilities

  • Process semi-monthly payroll accurately and on time.
  • Maintain HRIS data, employee records, and organization charts.
  • Produce HR reports and analytics for decision making.

Join our friendly, collaborative, and hardworking People, Culture & Equity team, reporting to the HR Manager, Operations.The HR Analyst (Payroll) supports delivering accurate, timely, compliant, and consistent HR operations. The role is responsible for day-to-day payroll processing, HRIS and data maintenance, employee lifecycle administration, reporting, documentation, and service support, and escalates complex or higher-risk matters to the HR Manager, Operations.Who We Are:The San Francisco-Marin Food Bank’s mission is to end hunger in San Francisco and Marin counties. Visit sfmfoodbank.org to learn more.Who You Are:To excel in this position, you will need to approach the work with the following habits and values:Must be a self-starter able to handle multiple tasks effectively in a dynamic, fast-paced environmentStrong analytical, problem-solving, interpersonal, oral, and written communication skills requiredStrong customer service skills required to support SFMFB staff and outside vendorsExceptional organizational skills and strict attention to detail are a mustCompliance and risk management mindsetContinuous improvement mindsetCollaboration and stakeholder supportWhat You Would Be Accountable for:The HR Analyst is accountable for the following key pieces of work:Process accurate and timely semi-monthly payroll and maintain related payroll records, reconciliations, and reporting.Maintain accurate HRIS, employee, position, and organizational data and support routine audits, reporting, and system administration.Provide responsive operational support throughout the employee lifecycle and maintain HR procedures, resources, and service metrics.What You Would Be Doing Right Now:HR Operations Delivery and Employee Lifecycle SupportProcess employee lifecycle transactions, including onboarding, job changes, transfers, promotions, leaves, and offboarding, in accordance with established workflows and approval requirements.Maintain complete and accurate employee records, forms, checklists, and supporting documentation.Respond to routine employee and manager inquiries, track service requests, and escalate complex, sensitive, or policy-related matters to the HR Manager, Operations.Payroll ProcessingProcess accurate and timely semi-monthly payroll for SFMFB staff, including payroll preparation, review support, submission, and post-payroll reporting.Research and resolve routine payroll issues and discrepancies and escalate complex exceptions to the HR Manager, Operations.Maintain and update payroll and employee data in the HRIS, including new hires, conversions, promotions, merit increases, and annual union increases.Process union dues and delinquent dues uploads for semi-monthly payroll and maintain supporting records.Prepare monthly payroll-related updates for the Union and Shop Stewards for review, as needed.Process and maintain leave-of-absence payments in coordination with the appropriate PC&E team members.Process garnishment orders through the dedicated garnishment team in Paycom.Produce final checks and approved off-cycle checks in accordance with established procedures and approval requirements.Respond to routine Paycom and payroll inquiries, track issues and trends, and escalate system or compliance concerns to the HR Manager, Operations.Maintain and distribute annual payroll and holiday schedules.Support annual and periodic payroll reporting and audits, including workers’compensation, Healthy SF/HCSO, W-2, ACA, and other required reporting.HRIS Reporting, Systems, and Data ManagementSupport HRIS testing, training, configuration, documentation, and system updates under the direction of the HR Manager, Operations.Develop and maintain standard and custom reports within the HRIS and payroll systems to support operational and data-informed decision-making.Maintain the HRIS database and conduct routine audits to support the confidentiality, integrity, and accuracy of employee data.Maintain internal and external organizational charts and position data, including department and reporting structures.Prepare and support with HR reporting, audits, and surveysPrepare workforce reports and HR analytics and flag trends or data concerns for review by the HR Manager, Operations.Provide administration and reporting support across HR systems, including the ATS and HR ticketing platform.Process employment verification requests in accordance with established procedures.Maintain and support the HR ticketing system, including reporting, user support, and training as needed.Maintain and update the PC&E site, forms, resources, and operational content.Complete other HRIS, reporting, and data-maintenance assignments as needed.What Else You Should Know:All internal candidates must apply using their Food Bank work email within 10 business days of posting to be considered. Applications submitted after 10 days are still welcome but may not be reviewed or afforded an interview, depending on the status of the selection process.REQUIRED EXPERIENCE:3+ years of relevant experience in payroll, HR operations, HRIS, or human resources administration.PREFERRED EXPERIENCE:Experience using and supporting Paycom or a comparable HRIS is preferred.Experience working with detailed and complex data sets in a unionized, nonprofit, or regulated environment is highly desired.KEY KNOWLEDGE, SKILLS, & ABILITIES:Strong Microsoft Excel, data-entry, data-retrieval, reconciliation, reporting, documentation, and customer-service skills.CERTIFICATES, LICENSES, REGISTRATIONS:Bachelor's degree in human resources, Business Administration, related field or equivalent experience.PHYSICAL DEMANDS AND WORK ENVIRONMENT:This position is set in a hybrid work environment requiring 4 days per week onsite and 1 day remote.
