Job description

Pasadena Veterinary Urgent Care | Pasadena, CA
Full-Time | On-Site
Salary Range: $80,000–$115,000 (DOE)
About Pasadena Veterinary Urgent Care

Pasadena Veterinary Urgent Care (PVUC) is a daytime urgent care veterinary hospital located in Pasadena, California—built for the in-between moments, when pets need care now but not an overnight ER. We treat dogs, cats, and exotics, and we prioritize calm, clear communication alongside high-quality medicine.

We are established, growing, and finding our rhythm. We partner closely with local veterinary practices and pet families to provide trusted urgent care without competing with full-service hospitals. Our goal is simple: deliver excellent medicine in a supportive, well-run environment for both clients and staff.

The Opportunity

We are seeking a Hospital Manager who can serve as our operational anchor, culture carrier, and steady problem-solver—someone who brings structure without killing the vibe. This role blends strategic oversight with hands-on execution and is ideal for a leader who thrives in fast-paced clinical environments, enjoys building systems, and leads people with empathy, clarity, and accountability.

The Hospital Manager must be able to perform the essential functions of the role, with or without reasonable accommodation.

What You’ll Do
Operational & Business Leadership
  • Provide day-to-day operational leadership that supports high-quality medicine, strong client experience, and a safe, compliant hospital environment
  • Oversee hospital workflows, systems, and resources to promote efficiency, consistency, and regulatory compliance
  • Identify operational gaps and proactively implement solutions to improve daily performance and outcomes
  • Maintain oversight of inventory management, including controlled substances, safety protocols, and hospital supplies
  • Partner with ownership on budgeting, financial planning, pricing considerations, and overall business performance
  • Track, analyze, and report on key performance indicators to support data-driven decision-making and sustainable growth
  • Lead, support, and develop a cohesive team through clear expectations, coaching, accountability, and ongoing feedback
  • Hire, onboard, train, and develop team members; establish training protocols and performance evaluation processes
  • Foster a positive, inclusive, and psychologically safe workplace culture aligned with PVUC’s values and standards
  • Manage staff scheduling, payroll coordination, and HR-related processes in collaboration with external HR partners
  • Serve as a consistent, calm leader during busy shifts, staffing challenges, and periods of change
Client Experience & Communication
  • Serve as a point of leadership for client communication, service recovery, and resolution of concerns when needed
  • Ensure front-of-house and back-of-house operations align to support an exceptional, compassionate client experience
  • Uphold professional standards of communication, service, and representation of the hospital
Strategic Growth & Planning
  • Contribute to strategic planning related to equipment, facilities, services, and future growth initiatives
  • Support thoughtful change management as the hospital evolves and scales
  • Balance immediate operational needs with long-term sustainability and team wellbeing
What We’re Looking For
Experience & Skills
  • Minimum 3 years of leadership or management experience in a veterinary hospital, healthcare setting, or comparable service-driven environment
  • Startup, growth-phase, or change-management experience strongly preferred—or a demonstrated understanding of what building and scaling an organization requires
  • Strong understanding of both front-of-house client experience and back-of-house operational management
  • Calm, organized, people-centered, and solutions-oriented leadership style
  • Proven ability to think proactively, assess situations logically, and make sound, timely decisionsStrong organizational, analytical, communication, and problem-solving skills
Technical & Administrative
  • Proficiency with Microsoft Office (Excel, Word, Outlook, Teams)
  • Working knowledge of QuickBooks and veterinary practice management systems (Shepherd)
  • Ability to interpret data, manage reports, and oversee administrative systems
Additional Requirements
  • Bachelor’s degree preferred but not required
  • Ability to work on-site in Pasadena, CA (relocation assistance not provided)
  • Flexibility to meet operational needs, including occasional extended or non-standard hours
Why You’ll Love It Here
  • You’re building it—not inheriting chaos. Your systems, leadership, and ideas will shape how the hospital operates.
  • Urgent care without overnight burnout. Fast-paced, meaningful medicine during daytime hours—no graveyard shifts.
  • Supportive, engaged ownership. Transparent leadership that values thoughtful decisions and doing things the right way.
  • Autonomy with alignment. Authority to lead and improve, backed by shared goals and clear expectations.
  • A culture that respects people. Psychological safety, professional growth, and sustainable workloads matter here.
  • Room to grow. As the hospital grows, so does your opportunity—professionally and financially.
Who This Role Is Not For
This role is not the right fit for everyone, and that’s okay. You may not be aligned with this position if:
  • You prefer a purely administrative or desk-based management role and are not comfortable being present, visible, and engaged in daily hospital operations
  • You need high levels of structure already in place and are uncomfortable building systems, processes, and rhythms in a growing practice
  • You avoid direct conversations, accountability, or performance management with team members
  • You struggle to make decisions in fast-paced or occasionally high-pressure clinical environments
  • You are resistant to change or prefer environments where priorities and workflows rarely evolve
  • You expect a strictly fixed schedule and are unwilling to flex hours occasionally to support operational or staffing needs
  • You are uncomfortable balancing hands‑on problem solving with strategic leadership and long‑term planning
  • You prefer managing from a distance rather than leading with presence, empathy, and ownership
Physical & Work Environment
  • Ability to move throughout the hospital and remain stationary as needed
  • Ability to communicate effectively in person, by phone, and electronically
  • Ability to operate standard office equipment and hospital software systems
  • Occasional lifting of up to approximately 40 pounds
  • Exposure to a veterinary clinical environment, including animals, medical equipment, anesthetic gases, cleaning agents, and potential zoonotic disease risks
  • Fast-paced urgent care setting with occasional medical emergencies and emotionally sensitive client interactions
  • Salary Range: $80,000–$115,000 annually (California pay-transparency compliant)
  • Schedule: Full-time (40 hours per week)
  • Benefits Include:
  • Medical and vision insurance
  • 401(k) with employer matching
  • Three (3) weeks total paid time off (PTO + paid sick leave)
  • Paid holidays
  • Continuing education and tuition reimbursement
  • Generous employee pet care discounts

Performance-based bonuses or salary increases may be available based on hospital growth and success; however, they are not guaranteed and are subject to business conditions and applicable law.

Equal Opportunity & Reasonable Accommodation
  • Pasadena Veterinary Urgent Care is an Equal Opportunity Employer. We comply with all applicable federal, state, and local employment laws, including the California Fair Employment and Housing Act (FEHA) and the Americans with Disabilities Act (ADA). Reasonable accommodations are available for qualified individuals with disabilities. Applicants needing accommodation during the application or interview process should notify us in advance.
