Qualifications

  • Associate’s Degree required; RHIA or RHIT preferred.
  • RHIA - Registered Health Information Administrator and RHIT - Registered Health Information Technician credentials.
  • Bachelor’s Degree may be preferred for leadership roles.

Job Description Summary:

The Health Information Management (HIM) Supervisor works in coordination with the HIM Operations Manager to administer the daily functions of the HIM Department. The HIM Supervisor is responsible for planning, developing, and maintaining the standard work and operating procedures of the Health Information Department of the hospital in accordance with state and federal guidelines, accreditation standards as well as hospital policies and procedures. This includes supervising multiple care sites and overseeing teams working onsite and remote. The HIM Supervisor monitors workflows and quality assurance of medical record documents in the document management system, oversees the birth certificate and paternity affidavit process, chart completion, release of information including oversight of outsourced staff. This position makes decisions concerning scheduling, process and workflow assessment, and productivity standard reporting.

Ensures that associates provide courteous, efficient service to all customer groups. Assists with interviewing, hiring, and training associates as well as creating performance evaluations, rewarding, and disciplining associates. Interacts as needed with internal and external customers including, but not limited to hospital staff, physicians, their office staff, and other Revenue Cycle team members. The HIM Supervisor works closely with Risk management and ensures timely completion of release of information requests. As problems are identified the HIM Supervisor is responsible for investigating the issue, analyzing the problem, and recommending solutions to resolve the issue or create more efficient workflows within the HIM department.

Responsibilities And Duties:

Provides operational support and performs the duties in the various functions as assigned depending on business need in the following HIM areas: document imaging, chart collection, birth certificate processing, deficiency analysis, physician suspension and release of information.
Analyzes data and workflows in HIM functional areas to identify potential standardization/procedural flaws, recommending solutions and training needed to prevent errors or omissions contributing to the identified issue.
Demonstrates initiative to identify problems and review related information to develop or evaluate options and recommend solutions.
Works both independently and collaboratively with others in a professional manner within and externally to the department with minimal supervision/guidance.
Distribute workload to staff daily to assure targets are consistently met. Provides leadership on projects and assigned tasks.
Must use good judgment in deciding what issues and when to forward to HIM leadership.
Responds to problems or questions from internal and external customers, including HIM associates, clinicians and physicians.
Works closely with HIM leadership to resolve issues and maintain an efficient service-oriented area.
Adapts to daily changes in workflow and independently rotates between tasks to support teams onsite and working from home.
Delegates assigned work to employees based on skill level and experience.

Evaluates and reports trends in functional areas as assigned through deductive reasoning and presents data gathered in an analytical format.
Analyzes data and workflows in HIM functional areas to identify potential standardization/procedural inefficiencies, recommends solutions and training needed to prevent errors or omissions contributing to the identified issue.
Accurately measures and evaluates staff performance, productivity, and quality measures, and assures that staff is following and meeting departmental goals and metrics.
Assumes responsibility for professional growth and development by completing training/recertification designed to maintain and increase job knowledge.
Maintain and/or create Standard of Work/Policies on new or existing workflows.

Identifies and communicates errors in chart certifications to the ROI vendor.
Completes assignments in various POC work queues and reports issues or trends to HIM leadership and HIM associates as appropriate.
Cross trains HIM associates as part of onboarding or for the purpose of providing back up.
Provides guidance and continuously educates staff on the importance of confidentiality guidelines.
Coordinates monthly huddles with job specific teams and participates in weekly department huddles.
Establish productivity standards, provide concurrent feedback on job performance, and routinely conduct quantitative and qualitative analysis of staff to monitor for compliance and ensure adherence to established workflow processes.
Maintains a working knowledge of State and Federal regulatory standards, HIPAA, and facility and department policies.

Arranges coverage for call ins and stands in to cover the schedule when needed.
Interacts as a team member representing HIM and attend meetings as directed.
Prepare, oversees, and approves work schedules.
Collaborate and assist the Data Integrity team as needed.
Other duties and projects as assigned.

Assists Manager with evaluating staff performance on an annual basis.
Provides input on department goals and objectives and HIM performance improvement plan as well as assists with maintaining overall compliance.
Maintains associate files and documents when needed.
Investigates and reports privacy-related complaints or breaches.
Verifies and reconciles timecards.
