HIM Manager

We are seeking an experienced, operationally focused Health Information Management (HIM) Manager to lead daily HIM operations and ensure the accuracy, confidentiality, availability, and regulatory compliance of patient health information. This leader will oversee a team of HIM professionals while partnering with clinical, compliance, revenue cycle, IT, operational, and client stakeholders to improve workflows, maintain service standards, and support organizational growth.
The ideal candidate brings a strong foundation in medical records management, HIPAA compliance, documentation standards, release of information, staff leadership, performance improvement, and electronic health record systems.
Key Responsibilities
HIM Operations and Leadership
- Lead and manage the day-to-day operations of the Health Information Management department.
- Supervise, coach, develop, and evaluate HIM staff, supervisors, and team leads.
- Ensure departmental service-level agreements, productivity standards, quality expectations, and turnaround-time targets are achieved.
- Establish departmental goals, monitor operational performance, and implement action plans when metrics fall below expectations.
- Manage staffing plans, scheduling, workload distribution, resource allocation, and workflow prioritization.
- Promote a culture of accountability, quality, customer service, collaboration, and continuous improvement.
- Develop and maintain standard operating procedures, workflows, and training materials for HIM functions.
Health Information Management
- Oversee medical record completion, deficiency management, scanning, indexing, document imaging, record maintenance, chart retrieval, and release of information activities.
- Ensure patient health information is accurate, complete, timely, secure, and accessible to authorized users.
- Monitor documentation and record-completion practices to support organizational, payer, regulatory, and legal requirements.
- Maintain compliance with medical record retention, destruction, storage, and information-governance requirements.
- Support the implementation, optimization, and ongoing use of EHR, document management, and HIM technology platforms.
- Ensure timely and accurate fulfillment of internal and external requests for protected health information.
Compliance and Risk Management
- Ensure HIM operations comply with HIPAA, applicable state privacy laws, organizational policies, and information security requirements.
- Maintain readiness for internal audits, external audits, accreditation reviews, regulatory inspections, and client audits.
- Partner with Compliance, Legal, Privacy, Security, and Risk Management teams on data protection, privacy, and records-management initiatives.
- Investigate, document, and resolve HIM-related compliance concerns, privacy issues, workflow gaps, and potential risks.
- Support adherence to Joint Commission standards, CMS requirements, and other applicable healthcare documentation and regulatory guidelines.
Quality and Performance Improvement
- Develop, monitor, and report key performance indicators related to productivity, quality, accuracy, turnaround times, backlog volume, customer service, and compliance.
- Analyze operational trends, identify root causes of performance gaps, and implement corrective and preventive actions.
- Lead process-improvement initiatives using Lean, Six Sigma, or similar continuous-improvement methods.
- Create and present operational dashboards, reports, and recommendations to leadership and client stakeholders.
- Identify opportunities to improve workflow efficiency, reduce rework, enhance record quality, and strengthen service delivery.
Stakeholder and Client Partnership
- Serve as a primary point of contact for HIM-related operational and client matters.
- Collaborate with clinical, revenue cycle, coding, compliance, IT, quality, and administrative teams to improve documentation and information-management workflows.
- Support client implementations, operational transitions, new-service launches, workflow changes, and technology enhancements.
- Build productive working relationships with internal leaders and external clients while maintaining a strong customer-service mindset.
- Communicate department performance, risks, priorities, and improvement opportunities clearly to leadership.
Required Qualifications
- Bachelor's degree in Health Information Management, Healthcare Administration, Business Administration, or a related field.
- Minimum of 5 years of progressive experience in Health Information Management, medical records, release of information, document imaging, or related healthcare operations.
- Minimum of 2 years of leadership, supervisory, or management experience.
- Demonstrated knowledge of HIPAA, patient privacy, medical-record confidentiality, documentation standards, and record-retention practices.
- Working knowledge of Joint Commission standards, CMS regulations, and healthcare compliance requirements.
- Experience managing or supporting functions such as chart completion, scanning, indexing, record maintenance, audit support, and release of information.
- Proficiency with EHR platforms and HIM-related technology, including document imaging and electronic record-management systems.
- Strong operational, analytical, problem-solving, and decision-making skills.
- Ability to manage multiple priorities effectively in a fast-paced, deadline-driven environment.
- Strong written, verbal, interpersonal, and stakeholder-management skills.
Preferred Qualifications
- RHIA (Registered Health Information Administrator) certification.
- RHIT (Registered Health Information Technician) certification.
- Experience supporting HIM operations across multiple facilities, locations, or client sites.
- Experience in a large health system, hospital, ambulatory care, post-acute, or outsourced healthcare-services environment.
- Lean Six Sigma certification or demonstrated process-improvement experience.
- Experience with performance dashboards, productivity reporting, quality monitoring, and KPI management.
- Familiarity with revenue cycle, coding, clinical documentation improvement, and health information governance processes.
