Job summary

NHS Greater Glasgow and Clyde (NHSGGC) is seeking an administrative professional to plan, organise, and maintain day-to-day tasks for Beatson West of Scotland Cancer Centre Macmillan Day Unit. You will be a focal point for patients, ensuring accurate records and up-to-date information.

The role includes supporting referral management, scheduling, and liaison with clinicians, with a standard 8:30–16:30, Monday–Friday pattern in a permanent, full-time capacity at the Beatson West of Scotland

Qualifications

  • Knowledge of patient administration systems and patient pathway management.
  • Understanding of referral management processes and waiting time targets.
  • Knowledge of appointment scheduling procedures and New Way rules.
  • Experience in maintaining accurate patient records and data entry.
  • Ability to produce statistical and management reports from database information.
  • Understanding of admission management processes within oncology and haematology services.
  • Strong communication and liaison skills for working with clinicians, patients, and external agencies.

Responsibilities

  • Act as the main point of contact for patients attending the unit.
  • Ensure all patient demographic information is accurately maintained on patient records and the patient administration system.
  • Support the Team Lead with referral management processes.
  • Accurately record and process referrals from receipt through to placement on the patient pathway.
  • Schedule appointments in partnership with patients, ensuring compliance with clinical priorities, waiting time targets, and New Way rules.
  • Liaise with clinicians to coordinate and plan patient management.
  • Respond to telephone enquiries from internal and external agencies.
  • Monitor and maximise service capacity utilisation.
  • Ensure accuracy and completeness of data entry.
  • Collate, analyse, and summarise database information to produce statistical reports for management.
  • Provide cover for the Clinical Bed Manager in managing emergency and elective admissions for Specialist Oncology Services and Clinical Haematology.
