Job summary

AIS Healthcare in Ridgeland, MS is seeking a Compliance and Licensing Specialist to manage facility licensing and regulatory compliance across the organization. The role ensures licensure with state boards, DOH, and other authorities, while supporting audits, policy administration, and training.

You will maintain licensing records, generate monthly reports, and advise acquisition teams on regulatory considerations, striving for accuracy, timeliness, and confidentiality in a fast-paced healthcare

Qualifications

• Bachelor's degree in business, healthcare administration, legal studies, or a related field.
• 2–4 years of experience in an office setting, preferably within regulated industries such as healthcare or pharmacy.
• Strong written, verbal, and research skills for effective communications with regulatory bodies.

Position Summary

The Compliance and Licensing Specialist is responsible for the day-to-day administration of the Company's healthcare facility licensing, and compliance functions, ensuring adherence to all applicable federal, state, and local laws, regulations, and internal policies. The Compliance and Licensing Specialist secures and maintains proper licensure for each healthcare facility with the applicable regulatory bodies. This role also supports the Company's broader Compliance Program, including regulatory research, audit support, policy administration, and training, and serves as a subject-matter resource for licensing and compliance matters across the organization.

What You'll Do

• Secures and ensures each healthcare facility is properly and continuously licensed by the applicable State Board of Pharmacy, non-resident Boards of Pharmacy (BOPs), Drug Enforcement Administration (DEA), State Controlled Substance Registration (CSR) authorities, State Department of Health (DOH), city, county, and other regulatory bodies.
• Oversees tracking, renewal, and maintenance of all facility and required individual (e.g., PIC, Administrator, etc.) licenses, monitoring expiration dates and working closely with facilities and regulatory bodies to ensure all renewal applications and required submissions are processed accurately and on time.
• Prepares and submits healthcare facility applications and correspondence, including new licenses, change of ownership, Pharmacist-in-Charge (PIC) and/or Administrator changes, and other required submissions.
• Applies for and obtains initial federal, state, county, and/or city licenses for new or expanding healthcare facilities.
• Researches and interprets state and federal regulatory requirements, including inspections, operational triggers, signage, labeling, and documentation requirements.
• Stays informed on changes in laws, regulations, and industry standards to support operational compliance across the organization.
• Maintains and updates licensing resources and records in SharePoint, Ethical Edge and other systems, ensuring facility license records, spreadsheets and required forms remain accurate, current, and readily accessible for compliance and audit purposes; generates, and maintains monthly facility licensure reports reflecting completed and upcoming projects. Follows all departmental processes related to the above.
• Provides guidance and support to acquisition and transition teams on facility licensure requirements, timelines, and regulatory considerations.
• Notifies appropriate departments of reportable licensing changes and ensures submission of required notifications to accreditation bodies and other regulatory bodies as applicable.
• Serves as a primary resource for facility ownership, name, and address information, and communicates facility openings, closings, and changes throughout the Company to maintain consistent and accurate facility information.
• Helps create, maintain, and revise compliance and licensing policies, procedures, forms, and related documentation; assists with the development and coordination of compliance and licensing training and other educational materials.
• Builds and maintains strong working relationships with internal stakeholders and external regulatory agencies.
• Supports internal compliance audits, including electronic medical record audits when applicable, and assists in determining audit scope, objectives, timelines, and risk areas.
• Monitors communication avenues (e.g., compliance hotline, emails); may be asked to respond, assist with investigations, or provide follow-up.
• Maintains logs of compliance and licensing inquiries and activities; tracks research and disposition of issues, and researches and responds to routine compliance and licensing questions.
• Proactively follows up on licenses not received in a timely manner in accordance with applicable follow-up procedures.
• Maintains strict confidentiality and adheres to all HIPAA guidelines and regulations.
• Performs special duties, projects, and research as assigned, including audits and reporting.
• Shares knowledge gained with other staff members and works as a team.

Required Qualifications

• Bachelor's degree in business, healthcare administration, legal studies, or a related field required.
• 2 - 4 years of experience in an office setting, preferably within a regulated industry such as healthcare or pharmacy.
• Strong written, verbal, and research skills, with the ability to communicate effectively and professionally with internal staff and external regulatory agency personnel.
• Working knowledge of pharmacy and home health agency operations, healthcare compliance laws, rules, and regulations.
• High level of integrity, with the ability to maintain confidentiality and handle highly sensitive information with discretion.
• Ability to make decisions, proactively solve problems, and work independently with little supervision.
• Ability to prioritize, multi-task, and meet deadlines in a fast-paced, compliance-driven environment.

Preferred Qualifications

• Demonstrated, successful experience in pharmacy licensing, home health agency facility licensing and certificate of need process, healthcare compliance, or regulatory affairs strongly preferred.
• State Board of Pharmacy technician license highly preferred.
