We are seeking an entry‑level Associate to process all releases of information (ROI), specifically medical record requests, in a timely and efficient manner. Associates must safeguard patients' privacy, ensuring that only authorized individuals access medical information and that all releases comply with requests, authorizations, company policy, and HIPAA regulations.
Position Highlights
- Onsite role in Hilton Head, SC
- Full Time: Monday through Friday, 8:00 AM – 4:30 PM Eastern Time
- Provide support for ROI processing
- Handle front desk tasks and assist with patient walk‑ins
- Process medical record requests such as insurance, DDS, workers’ compensation, and subpoenas
- Document information in multiple platforms using dual computer monitors
- Proficient in Microsoft Office (Word and Excel)
Preferred Skills
- Knowledge of HIPAA and medical terminology
- Familiarity with EHR and billing systems
- Experience working with subpoenas

You Will
- Receive and process requests for patient health information in accordance with company and facility policies and procedures
- Maintain confidentiality and security of all privileged information
- Maintain working knowledge of company and facility software
- Adhere to the company’s and customer facilities’ code of conduct and policies
- Inform manager of work, site difficulties, and/or fluctuating volumes
- Assist with additional duties as required
- Apply medical privacy regulations to guard against unauthorized disclosure
- Manage patient health records, ensuring compliance with HIPAA standards
- Prepare new patient charts, gather documents from paper or electronic sources
- Assemble medical records in standard order and ensure accuracy and completeness
- Create digital images of paperwork for electronic medical record storage
- Respond to requests for patient records, both within the facility and from external sources
- Answer inbound/outbound calls
- Assist with administrative duties such as handling faxes, opening mail, and data entry
- Meet productivity expectations as outlined at specific sites
- Satisfy scheduling pick‑ups and other assigned tasks
What You Will Bring To The Table
- High School Diploma or GED
- Ability to commute between locations as needed
- Willingness to work overtime during peak seasons
- Basic computer proficiency
- Comfort with phones, fax machine, printers, and other general office equipment
- Professional verbal and written communication skills in English
- Detail and quality oriented regarding accurate and compliant medical record information
- Strong data entry skills
- Ability to work with minimal supervision and adapt to changing priorities
- Organizational and multitasking skills
- Ability to respond swiftly in a fast‑paced environment
Bonus Points If
- Experience in a healthcare environment
- Previous production/metric‑based work experience
- In‑person customer service experience
- Ability to build relationships with on‑site clients and customers
- Comfortable bringing new ideas, process improvement suggestions, and feedback to internal stakeholders
To ensure the safety of patients and staff, many of our clients require post‑offer health screenings and proof of completion of vaccinations such as flu shot, Tdap, COVID‑19, etc. Requests for exemption will be reviewed on a case‑by‑case basis.
