Job summary

The Unity Council in Oakland is seeking a Health Aide to support the Health and Nutrition Manager within the Children and Family Services department. You will help maintain medical records, coordinate with parents and providers, and assist at the front desk as needed.

The role requires at least two years of office experience, strong organizational and computer skills, and the ability to work in a multicultural team. Excellent benefits and a supportive work environment accompany this position.

Responsibilities

• Work with Health Manager, Parents and other HS personnel to ensure all medical papers are up to date in children’s files, including immunizations and assessments.
• Enter children’s medical information into the Child Plus program and ensure accuracy, scanning documents.
• Call parents and providers weekly to follow up on outstanding physicals and set up appointments.
• Note all communication with parents on Child Plus.
• Provide front desk back-up including answering phones, receiving visitors, Admissions intake and waiting list prep.
• Attend regular staff meetings.
• Perform additional duties as assigned by supervisor or management.

Union : This position is represented by SEIU Local 1021. Compensation and salary advancement are determined by the applicable Collective Bargaining Agreement, including eligible seniority increases at five (5) and ten (10) years of service.

Department Summary

The Children and Family Services programs include Head Start, Early Head Start, State Pre-Kindergarten, Home Based Services, and Developmental Play Groups. Over 900 children birth through kindergarten entry and 32 expectant parents and their families receive child development and comprehensive family services through the Unity Council. The programs are diverse, multilingual, developmentally appropriate, culturally responsive, and individualized for each child and family services are provided in seven centers and one home-based program throughout Oakland and Contra Costa County.

Essential Duties and Responsibilities

The duties and responsibilities include, but are not limited to the following:

• Work with Health Manager, Parents and other HS personnel to see that all medical papers are in order and up to date in all children’s files, including immunizations and all medical, dental, assessments, etc.;
• Responsible for entering children’s medical information into Child Plus program (database), ensure accuracy and scanning documents into Child Plus;
• Call parents and providers on a weekly basis to follow up regarding outstanding physicals, provide parents with resources and work with providers on setting up appointments;
• Note all communication with parents on Child Plus;
• Provide back-up for Front desk reception, which includes but is not limited to: answering phones, receiving parents, staff, children, prospective staff, community visitors and some Admissions In-take parents (waiting list and preparation);
• Attendance at regular staff meetings;
• Perform additional duties as assigned by supervisor or management.

Qualifications

• Minimum two years working in an office setting, preferably in a medical office or preschool setting;
• Excellent organizational skills;
• Good computer skills with the ability to sue various software including Word, Excel and Publisher;
• Ability to work harmoniously in a multicultural team;
• Caring, compassionate approach to working with children and families;
• Awareness of safe lifting techniques and safe operation and use of computer and other office equipment;

Physical Requirements

• Must be able climb stairs, reach, bend, lift 20-30 pounds, crawl, kneel, stoop, twist, grasp materials with hands and fingers, use arms and legs, able to walk, climb ladders if applicable.
• Regularly required to sit for long periods of time, and occasionally stand and walk;
• Regularly required to use hands to operate computer and other office equipment;
• Close vision required for computer use.
