Job summary

Porter-Leath in Memphis is seeking a Head Start Program Coordinator to provide coordination and support for Head Start partners and internal teams. The Coordinator will report to the Head Start Area Manager and assist with special projects as needed.

The role requires a Bachelor’s degree in Early Childhood Education or related field and a minimum of three years’ experience in administration/coordination, preferably within Head Start.

Qualifications

  • Bachelor’s degree in Early Childhood Education, Social Services, or related field is required.
  • Minimum 3 years of administrative and/or logistics coordination experience within an education or a social services environment is preferred.
  • Minimum 3 years working in a Head Start environment required.

Responsibilities

  • Coordinate schedules and delivery of services for Head Start partners and connect them to materials and resources.
  • Serve as liaison between Head Start partners and comprehensive teams.
  • Maintain customer service protocols and assist with internal trainings.
  • Support development of internal capacity for child care business functions including HR, family support, and PD.
  • Assist with development of performance metrics and data collection to measure impact (Child Plus/ProCare).
  • Handle sensitive issues with discretion and confidentiality.
  • Maintain organized, accurate records and oversee onboarding of new Child Care partners.
  • Assist with meetings: scheduling, creating agendas, taking minutes.
  • Collaborate with team to support programs across Porter-Leath; communicate internally.
  • Complete and review monthly reports as required by leadership.
  • Represent Porter-Leath and the Early Childhood department at local, state, and national forums for advocacy and collaboration.
  • Attend educational workshops to stay current with trends and standards.
  • Contribute to team efforts and assist with other duties as assigned.
  • Implement shared services and Head Start best practices with partner centers.
  • Attend Head Start meetings and trainings to support Head Start partners.
  • Work with the Director to develop administrative systems for growth, quality programming, and regulatory compliance.

Job description

Under the direction of the Head Start Area Manager, the HS Program Coordinator will provide coordination and support services for the Head Start partners and internal team. The Coordinator will also assist with other special projects as assigned.

Supervisory Responsibilities

This position does not include any supervisory responsibilities.

Essential Job Functions
  1. Coordinate the schedules and delivery of services as a coordinator for Head Start partners, connecting them to needed Head Start materials and resources, with team members serving as a liaison betweenHead Start partners and Head Start comprehensive teams.
  2. Maintain customer service protocol and assist with internal trainings
  3. Support development of internal capacity for child care business functions such as utilization of business automation tools, human resource services, family support services, professional development, and technical assistance by providing on-site technical assistance and coaching.
  4. Assist with development of performance metrics; assist with data collection to measure impact ( (i.e. Child Plus and/or ProCare).
  5. Ability to handle sensitive issues with discretion, confidentiality, and objectivity.
  6. Ability to maintain organized, accurate, and easily accessible records.
  7. Assist with recruitment, vetting, and onboarding of new Child Care partners.
  8. Assist with meetings (e.g., scheduling, creation of agendas, minutes, etc.)
  9. Demonstrated ability to collaborate cooperatively and provide necessary support to all team members, including internal communications to ensure all programs across Porter-Leath.
  10. Complete, review, and/or submit monthly reports as required by leadership.
  11. Represent Porter-Leath and/or Early Childhood department at local community forums, groups at a national, state, and local level for purposes of advocacy, education, collaboration, networking, and information sharing.
  12. Attend local, regional and national educational workshops to stay abreast of trends and maintain professional development.
  13. Contribute to team effort by performing other duties as assigned.
  14. Implement shared services and Head Start best practices with partner centers
  15. Attend regular Head Start meetings and trainings to better support Head Start partners
  16. Work closely with the Director to develop and support administrative systems according to the needs of the center pertaining to organizational growth, quality programming, and requirements from our licensing bodies.
  17. Skilled in building cooperative relationships with community organizations and individuals from all backgrounds.
  18. Ability to manage a heavy workload and conflicting deadlines effectively, independently prioritizing tasks under pressure.
  19. Work with the Director to develop and support strategies to bolster program quality and operational efficiency of the partner center
  20. Possess strong interpersonal, verbal, and written communication skills for effective engagement with diverse individuals and groups
  21. Possess the ability to build trusting, respectful partnerships with individuals and families, believing in their potential for growth. Skilled at setting professional boundaries and intervening appropriately to effectively address staff and parent needs.
  22. Help with onboarding and data entry for child care management software
  23. Support the following systems according to the needs of the center and our licensing bodies, including Head Start regulations.
  24. File management including cloud-based systems
  25. Emergency procedures and preparedness
  26. Support back office functions as needed
  27. Staff Training Documentation
  28. Evaluation systems
  29. Head Start mandates: Enforcing Head Start program standards
  30. Executing health and safety facility audits
  31. Engaging content area managers to verify and align program data
Knowledge, Skills & Abilities
  • Thorough experience of the early childhood education industry
  • Proficient with relevant Google Suite software

Physical Demands

While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand, walk, and use hands to finger, handle, or feel. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision and color vision. Work in a non-smoking area.

Special Conditions

This position requires a valid driver's license, a personal vehicle to travel locally to PL sites a minimum of 30% of the time, good driving record with appropriate level of automobile insurance. Ability to travel overnight if necessary.
