Job summary

The Genetic Counselor Assistant at Phoenix Children's Hospital supports the Genetics Division under the supervision of the Genetic Counselor Lead. The role focuses on case preparation, clinic workflow optimization, and family-centered care.

Responsibilities include preparing charts, updating EMR, handling communications, and assisting with scribe duties during patient encounters, while ensuring accurate documentation and seamless team collaboration.

Qualifications

  • Minimum 2 years medical experience in a hospital setting or private practice (Preferred)
  • Experience and understanding of medical terminology, anatomy and physiology, diagnostic procedures, pharmacology, and treatment assessments to understand and accurately transcribe dictated reports (Required)
  • Previous experience with or ability to translate medical abbreviations into their expanded forms (Required)

Responsibilities

  • Composes correspondence and independently generates communications, including emails, record requests, and lab review through effective use of appropriate software application and/or media.
  • Prepares patient’s chart for clinic visit by gathering necessary documentation, updating EMR prior to the visit, and notifying participants of changes to ensure timely communication and a productive visit.
  • Assists patients, families and others with hospital related inquiries/concerns. Management of incoming phone calls and emails related to genetic services and referrals.
  • Provides administrative support to the department and coordinates and organizes clinic workflow and communications, including phone management, e‑mail correspondence, file maintenance and chart preparation to provide for optimum efficiency in the clinic.
  • Rotates as a medical scribe while accompanying the practitioner during patient interview and examination. Documents the practitioner dictated patient history, including history of present illness, review of systems, past medical and surgical history, family and social histories, and medications and allergies. Documents physical examination findings and procedures as performed by the practitioner. Documents the results of laboratory and radiographic studies as dictated by the practitioner. Documents the correct time of patient care related activities, including practitioner to practitioner communication, family communication and re‑examination of the patient. Assists the practitioner in navigating the Electronic Health Record (EHR) and may locate information for review as requested by the practitioner (i.e., previous notes, reports, test results, and laboratory results). The Genetic Counselor Assistant is an integral part of the Genetics Division and under the supervision of Genetic Counselor Lead, contributes to patient care through case preparation, optimization of clinic and administrative workflows, and collaboration to ensure family-centered care.

This includes making any necessary amendments and signing the chart. The practitioner is ultimately responsible for documentation of the patient’s encounter. Ensures authentication takes place before the practitioner and medical scribe leave the patient care area and that all orders for patient care are communicated by the practitioner.

Position Qualifications
Education
  • 1-2 years post high school education (Required)
  • Bachelor’s degree in a biological/health science (Preferred)
Experience

  • Ability to multi‑task and consistently communicate in a professional manner including writing routine reports and correspondence; proficient in typing and good at spelling, punctuation, grammar, and oral communication. Ability to listen to complex medical information and summarize in a clear, complete, and concise fashion. Excellent English composition skills required to generate professional, polished writing at a high rate of production (Required)
  • Ability to learn and use all functions of electronic medical record software and transcription software. Maintain and demonstrate an understanding of the team approach to patient care and documentation (Required)
