  • Oversee fleet services: vehicle database, maintenance schedules, insurance requests, and driver lists.
  • Coordinate with HR and program directors on facilities and fleet matters.
  • Present capital needs for budgets and ensure expenditure compliance.
  • Administer UpKeep software for Sacramento County Command.

Job description

The Salvation Army Mission Statement:

BASIC PURPOSE

This position is responsible for coordinating the maintenance of all Salvation Army facilities within the Sacramento County Command, ensuring that they remain operational, safe and in clean condition. Additionally, the position is responsible for coordinating the fleet services for the Sacramento County vehicles as operational, safe, and legal.

ESSENTIAL DUTIES AND RESPONSIBILITIES
FACILITIES
  1. Coordinate the maintenance of building and officer quarters, (i.e., landscaping, air conditioning/heating, general building appearance, lawn irrigation system, etc.);
  2. Serve as liaison to outside contractors and vendors (i.e., HVAC, landscapers, electricians, and alarm security personnel);
  3. Process vendor/contractor invoices according to Salvation Army policy including receiving, payment requesting and tracking;
  4. Process all facilities related TSAMM actions for consideration.
  5. Supervise maintenance and janitorial staff as it relates to the fulfillment of their duties and responsibilities including: coaching, conducting annual written performance evaluations, schedules, regular verbal and written feedback on an ongoing basis, identifying additional training needs; promoting morale and support, and taking appropriate corrective action;
  6. Work in partnership with program directors and managers ensuring proper communication and awareness of facilities related matters.
  7. Maintain communication with the Sacramento County Coordinator(s) as to designated tasks to be performed;
  8. Present capital project needs for budget consideration and ensure budgetary compliance to facilities related expenditures including related staffing and benefits.
  9. Administration responsibilities for UpKeep software concerning Sacramento County Command.
FLEET SERVICES
  1. Directly responsible for all aspects of the Sacramento County Command vehicle database and physical files;
  2. Manage the preventative maintenance schedule for all vehicles within the Sacramento County Command;
  3. Process all insurance requests for vehicles;
  4. Direct correspondence with locations pertaining to vehicle accidents, purchases and sales;
  5. Oversee the compliance of THQ policy in regard to the Fleet Safety Program as it relates to the Sacramento County Command;
  6. Work in cooperation with Sacramento County Command HR representative to maintain an authorized driver list.

From time to time, other duties may be assigned by the Sacramento County Coordinator(s).

KNOWLEDGE, SKILLS, ABILITIES AND OTHER QUALIFICATIONS REQUIREMENTS
  1. AA Degree: three to five years in related field, or H.S. Diploma with a minimum of five years' experience in related field.
  2. Incumbents must be able to work with minimal supervision, be prepared to encounter a variety of assignments and timelines and must be able to maintain confidentiality of sensitive materials and information.
  3. Must possess good written and oral communication skills and be able to draft and edit professional level communications.
  4. Must be proficient in computer programs such as Microsoft Office (including Word, Excel, Powerpoint, and Publisher) and Lotus Notes electronic mail.
  5. Must have excellent organizational skills including multitasking, time management, and office systems (including maintaining files).
  6. Must demonstrate good judgment and act in a professional manner.
  7. An understanding of the purpose and goals of The Salvation Army is preferred.
  8. Ability to speak and write the English language with professional level skill is required.
CERTIFICATES, LICENSES, REGISTRATIONS

Ability to drive a Salvation Army vehicle means (list may not be exhaustive)

  1. Must be at least 21 years of age
  2. Must pass pre-employment and enroll in TSA random drug testing program as required by the Department of Transportation (DOT); and
  3. Complete The Salvation Army's Decision Driving course training; and
  4. Authorize The Salvation Army to add name to DMV Pull Notice Program list for Driving records.
  5. Must possess a valid California Class C license, and ability to drive a DOT-Regulated Salvation Army vehicle.
  6. Must pass annual Motor Vehicle Report (MVR).
  7. Will be required to pass a behind the wheel road test.
  8. Must be able to drive a forklift safely and be forklift certified.
PHYSICAL REQUIREMENTS:
  • Ability to sit, walk, stand, bend, squat, climb, kneel, and twist on an intermittent or sometimes continuous basis

  • Ability to lift up to 30 lbs.
