Job summary

McKinstry is seeking a Front Desk Coordinator in Portland to provide administrative support and manage front desk operations. You will answer calls, handle mail, badges, and visitor logistics while maintaining a welcoming, organized reception area.

The role requires a Bachelor’s degree or equivalent experience, strong MS Office skills, and a proactive, energetic attitude. Experience with virtual/matrixed teams is a plus; benefits and growth are highlighted.

Responsibilities

  • Deliver accurate, high quality and timely results.
  • Answer incoming general phone calls and forward to appropriate department/individual.
  • Receive, sort and schedule pickup of mail/FedEx/UPS.
  • Visit log, visitor badging and notifying McKinstry teammate of visitor's arrival.
  • Maintain front desk organization and cleanliness.
  • Manage vendor access and log; notify the appropriate teammate.
  • Assist with coordination of client events, internal office events, and project events.
  • New employee activation including IT and desk setup.
  • Provide excellent customer service and build internal partnerships.
  • Liaise with Facilities and assist with projects and administrative tasks.
  • Communicate with departments to achieve shared objectives.
  • Engage with departments and regions to support cross-functional goals.

The Opportunity with McKinstry

We are adding a Front Desk Coordinator to our Portland office. In this role, you will provide excellence in administrative support. Additionally, some responsibilities you will have include:

  • Deliver accurate, high quality and timely results

What You Need to Succeed at McKinstry
  • Intermediate working knowledge of Microsoft Word, Excel and Outlook required, knowledge of SharePoint and Visio preferred.
  • Bachelor's degree or equivalent work experience required.
  • Exceptional customer service skills.
  • Energetic and enthusiastic, bringing a positive attitude to the team.
  • Experience working with virtual and matrixed teams is preferred.

The pay range for this position is $21.00 - $31.00 per hour; however, base pay offered may vary depending on job-related knowledge, skills, and experience. This is a non-exempt role and will be paid hourly. A bonus may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. Base pay information is based on market location.
