Job description

Purpose

Provide front and back‑office support including greeting patients, performing patient check‑in/out processes, assuring patients are appropriately registered, exam fees are collected, and insurance information is accurate. To assist ophthalmologists by performing ophthalmic clinical functions. Duties include administering eye exams, instilling eye medication, and conducting diagnostic tests, as ordered by the ophthalmologist.

Job Duties and Responsibilities
  • Greet patients, visitors, and vendors, ascertain the purpose for their visit, and direct them accordingly.
  • Obtain necessary patient information (demographic, insurance, and financial) to initiate, confirm, or schedule appointments, tests, surgeries, or medical consultations using the scheduling templates.
  • Receive and direct telephone calls, messages, or documents to appropriate staff.
  • Screen patients for demographic and insurance updates such as changes in primary phone number, home address, insurances, etc.
  • Interview and record patients’ chief complaint and medical histories.
  • Prepare patients for examination or treatment by the physician.
  • Enter patients’ medical information into the patient’s electronic medical record.
  • Verify EMR and paper charts are accurate and that exam/tests results are consistently documented.
  • Perform technical work‑ups and diagnostic testing by operating various ophthalmic equipment to assist in the diagnosis and treatment of the patient, as ordered by the physician, including conducting tonometry or tonography tests and visual field tests.
  • Transcribe physician’s examination data into the patient’s electronic medical record.
  • Instill eye medications, as ordered by the physician.
  • Communicate with patients about their prescriptions, follow‑up care, procedures, symptoms, physician‑generated instructions, and/or post‑operative status.
  • Prepare treatment rooms for patient exams, keeping the rooms neat and clean.
  • Maintain and sterilize medical equipment, instruments, and facilities.
  • Perform administrative duties such as answering phones, sending correspondence to pharmacies or other authorized parties, maintaining an inventory of supplies.
  • Work overtime as necessary.
  • Follow applicable policies and procedures and take precautions to establish a safe work environment.
  • Maintain strict patient protocols in accordance with practice policies/HIPAA requirements.
  • Maintain a high level of professionalism with patients and work to establish a positive rapport.
  • Perform other duties as assigned.
Requirements
  • Education: High school diploma or equivalent required.
  • Experience: 1‑3 years of related medical assistant and/or optometry/ophthalmic experience preferred; experience with checking intraocular pressure and refraction, a plus.
  • Technical Skills: Working knowledge of Microsoft Suite required.
  • Knowledge of Medical Terminology preferred.
  • Knowledge of PM/EHR software required; Compulink preferred.
  • Language: Ability to read, write, and communicate in English; bilingual in Spanish, a plus.
  • License/Certification: Valid MA, COA, COT, or Ophthalmic Scribe certified preferred.
  • Must be able to travel between Lakewood and Los Alamitos office and work overtime, as needed.
  • Work is performed in a clinical setting. Must be able to stand or walk for up to 8 hours with bending, stooping, squatting, sitting, twisting, and reaching. Including ability to frequently reach with hands and arms, and repeat the same movements.
