The Foundation Finance Manager manages the financial activities and reporting for the USC Upstate Foundation with oversight from the Vice Chancellor for Finance and Administrative Affairs with a dotted reporting line to the Vice Chancellor of Development and Executive Director of the University Foundation. This position ensures the accuracy of fund balances and timely reporting to campus constituents, division leaders and external users. The Foundation Finance Manager is responsible for monitoring the consistency of data between the development database and the financial system and for the accuracy of scholarship disbursements. Responsible for the University Foundation's grant award management.

Job Related Minimum Required Education and Experience

Requires a bachelor's degree in a job related field and 2 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.

Required Certification, Licensure/Other Credentials
Preferred Qualifications

Bachelor's degree in finance, accounting, business or similar field of study and 3 years of relevant experience or a master's degree and 1 year of relevant experience. Knowledge of GASB and FASB standards required. Experience in a large organization, preferably non-profit or higher education. A successful background check is required.

Knowledge/Skills/Abilities

Knowledge of the principles, practices, theories and terminology of accounting, banking, budgeting, financial management or investment. Knowledge of state government fiscal accounting processes. Knowledge of financial statement analysis. Ability to analyze and interpret complex financial data and reports. Knowledge of grant award compliance, budgets, tracking of expenditures, and ensuring proper financial reporting of Foundation received grants. Ability to plan, organize, review and supervise the work of subordinates. Ability to establish and maintain effective working relationships with others. Ability to communicate effectively. Knowledge of University policies and procedures related to finance. Use discretion when dealing with confidential information.

Job Duties
  • Financial Planning and Reporting: Manage the foundation’s overall budget, including grant budgets and cash flow forecasts. Prepare and present financial statements and reports for the Board of Directors. Reconciles monthly statements of activity for investments and operating accounts. Calculates available endowment pending on an annual basis and analyzes unspent funds.
  • Accounting and Auditing: Manage general ledger, accounts payable, and accounts receivable. Maintains supporting schedules for split-interest agreements, annuities, pledge discounts, allowances and records activity in general ledger. Oversee the annual external audit process and assist with preparation of tax return. Reimburse University for Scholarships paid to students with Fund held by the Foundation. Reconcile Upstate general ledger account for scholarships awarded by Financial Aid and paid by the Foundation. In accordance with the USC / Foundation Affiliation agreement, prepare shared services billing quarterly. At the end of the year, offset services against Unrestricted Fund expenses paid by the Foundation. Record amounts to University’s general ledger.
  • Compliance and Regulations: Ensure compliance with tax regulations, accounting standards, and grant guidelines. Maintain accurate records and documentation.
  • Foundation Operations: Works closely with the Vice Chancellor for University Advancement to develop policies and strategies for effectiveness and efficiency for the Foundation. Serves as liaison to campus divisions and colleges with regards to designated funds, fund reporting and accountability.
  • Grant Award Management: Develop and manage grant budgets, tracking of expenditures, and ensuring proper financial reporting of Foundation received grants. Prepare and submit timely and accurate progress and final reports to funders, demonstrating project outcomes and impact. Ensures compliance with all grant terms and conditions, monitoring of project progress, and addressing any issues or challenges that arise.
