Job summary

Summit Psychological Associates, Inc. is seeking a forensic intake specialist to manage referrals from court officials and coordinate scheduling of initial sessions, EMR data entry, and client contact.

The role requires independent work after training, strong communication with referral sources and clinicians, HIPAA compliance, and accurate documentation; the team includes a Forensic Psychologist and Federal Services Coordinator.

Qualifications

• Previous doctor's office or mental health/substance abuse agency with use of electronic medical record is preferred.
• Excellent computer and typing skills including proficiency in Microsoft Office and scanning documents.
• Strong communication skills.
• Consistent Attendance.
• High standards of customer service.
• Experience working with electronic medical records preferred.
• Excellent analytical skills, including problem identification and resolution.
• Understand and comply with HIPAA regulations.

Responsibilities

• Answer all intake calls, emails and faxes from forensic referral sources and respond within 24 business hours.
• Contact clients identified in the referral and schedule them for referred services within designated time frames.
• Enter demographic information into the electronic medical record.
• Enter insurance/Medicaid information and verify coverage; contact insurer or Medicaid as needed.
• Schedule first sessions and inform clients what is needed for attendance (fees/copays).
• Track federal referrals and ensure timely contact and scheduling; coordinate with the Federal Services Coordinator.
• Assist with front desk duties when needed (greeting clients, completing documentation, answering phones, collecting payments).
• Provide support to clinical staff by copying, faxing, scanning, and emailing materials.
• Enter notes in the electronic record related to calls or client interactions.
