Responsibilities

Job Description

Responsible for providing field support services and assisting managers, supervisors, and drivers with the implementation of the Company’s Fleet Safety Management policies and procedures. Manage high-volume transportation compliance and record-keeping to ensure all commercial motor vehicle records conform to strict federal regulations. This role administers driver qualification files, monitors electronic logging device data for hours-of-service compliance, and tracks mandated vehicle inspection reports. Maintains documentation and provides support to ensure driver and Company regulatory compliance in a manner that is consistent with Company ethics and core values.

ESSENTIAL Duties and Responsibilities
  • Implement and Monitor: Audit and maintain Driver Qualification (DQ) files, verifying valid Authorized Driver, CMV Driver and CDL Driver Class A/B credentials, HazMat endorsements (HME), and perform required background checks as applicable.
  • Support DOT / FMCSA compliance tracking and required reporting.
  • Audits and Inspections: Monitor Electronic Logging Devices (ELD) specifically for complex exemptions (e.g., short-haul 150 air-mile rule vs. over-the-road HOS rules).
  • Pre-trip/post-trip Driver Vehicle Inspection Reports (DVIRs).
  • Identify and report compliance gaps and risks.
  • Support audit readiness and regulatory documentation accuracy.
  • Technical Communication: Distribute fleet safety correspondence and where directed, assist with enhancement of elements of the Fleet Safety Management policies and procedures.
  • Provide updates to drivers and supervisors on regulatory and company policy/procedure changes.
  • Incident Investigation and Analysis: Assist with incident documentation, evidence collection, and reporting.
  • Code incidents into company systems consistent with Company and FMCSA recordkeeping expectations.
  • Support insurance and regulatory reporting requirements and corrective action follow‑up.
  • Training Support: Identify and assist team members in need of training or support to meet safety and health requirements.
  • Participate and support safety meetings and training programs.
  • Assisting in scheduling required DOT/FMCSA training (e.g., HOS, inspection, safety awareness).
  • Point of Contact: Under the guidance of the Fleet Safety Manager, Director or VP of Safety, serve as a point of contact for any federal or state, safety or risk management authority and/or personnel, (i.e. Federal or State DOT, FMCSA, etc.).
Education/Experience

Bachelor’s degree in safety and health or equivalent combinations of technical training and experience. 0 to 5+ years of experience in fleet safety management with construction industry fleet safety management experience strongly preferred.

KnOWLEDGE, Skills and Abilities
Technical Skills
  • 1–3 years in DOT/FMCSA transportation compliance.
  • Basic understanding of DOT/FMCSA regulations and familiarity with PHMSA regulations and HazMat compliance paperwork.
  • Organization and administrative recording skills.
  • Strong attention to detail and documentation discipline.
  • Ability to follow SOPs and structured workflows.
  • Ability to work independently with regular guidance from a Fleet Safety Manager or mentor.
  • Ability to work in high production environment (50+ hours/week) and respond quickly and effectively under pressure and deadlines.
  • Personal computer skills (Word, Excel, PowerPoint, SharePoint, Phone Apps, etc.).
  • Foundational Samsara and Samba Safety proficiency.
  • Basic writing and communication skills (MS Suite, emails, memos, correspondence, etc.).

  • Excellent communication, presentation, and interpersonal skills.
  • Ability to think independently and communicate thoroughly to influence the proper implementation of fleet safety policies and procedures.
  • Develops the ability to make independent judgements to manage and facilitate company programs/policies related to the safety of the work.

  • Ability to explain information to others to positively impact behaviors.
  • Knowledgeable with assigned projects and develops understanding of operations to integrate best practices and recommendations.

CERTIFICATIONS, LICENSES, AND REGISTRATIONS
  • Valid Driver’s License, good driving record required.
  • GSP (Graduate Safety Practitioner) or CHST preferred.
  • FMCSA, North American Transportation Management Institute (NATMI) or NAFA Fleet Management Association certifications.
  • NSC, Smith System or equivalent driver trainer credentials are preferred.
