Job summary

Capital Area Transit System (CATS) is seeking a Maintenance Data Coordinator to manage maintenance data, work-order records, preventive-maintenance documentation, fleet mileage, defects, parts and labor data, and recurring performance reports.

The role ensures records are accurate, timely, complete, and audit-ready, providing information used by management to monitor fleet reliability, PM compliance, work-order backlog, productivity, and other maintenance performance measures.

Qualifications

• Two or more years of experience coordinating data, work orders, and fleet records.
• Strong Excel skills plus data-entry, reconciliation, and reporting abilities.
• Ability to review details, identify discrepancies, and coordinate corrections.

Responsibilities

• Review maintenance work orders for completeness and accuracy.
• Identify missing or inconsistent records and coordinate corrections.
• Maintain standardized data-entry procedures and vehicle history records.
• Monitor preventive-maintenance due dates and mileage.
• Prepare upcoming, overdue, and PM compliance reports.
• Maintain supporting documentation for audits and reviews.
• Prepare recurring fleet reports and dashboards.
• Analyze data for trends and patterns requiring management review.
• Support weekly, monthly, quarterly, and annual reporting.
• Provide source data for executive and regulatory reporting as assigned.
• Track defect trends and repair status as assigned.
• Coordinate data needs with multiple departments.
• Assist users with data questions and identify workflow improvements.
