Job summary

Gulf Winds International, Inc. is seeking a Fleet Coordinator to provide day-to-day dispatch support at the Houston Terminal (La Porte, TX). The role focuses on load visibility, driver communication, and updating operations systems to help execute the daily dispatch plan.

Qualifications

Responsibilities

• Serve as the first point of contact for drivers requiring basic operational support and troubleshooting.
• Escalate equipment, safety, service, or operational issues to Dispatch or Terminal Leadership as needed.
• Maintain accurate and timely load status updates in the Transportation Management System (TMS).
• Monitor equipment inventory, availability, and release status to support dispatch planning.
• Communicate dispatch plan updates, schedule changes, and load information to drivers.
• Provide load status updates to Customer Service, Scheduling, Planning, and other internal stakeholders.
• Compile and distribute operational reports and performance metrics for management review.
• Assist in tracking service performance, load completion, and operational exceptions.
• Support dispatchers in managing daily fleet activity and workload prioritization.
• Promote and reinforce current company safety initiatives and topics with drivers and team members.
• Maintain professional communication with drivers, customers, vendors, and internal departments.

Purpose of Position

The Fleet Coordinator provides day-to-day support to the Dispatch team by maintaining load visibility, communicating with drivers, updating operational systems, and assisting with the execution of the daily dispatch plan. This entry-level position serves as a key communication link between drivers, dispatchers, customer service, and terminal operations. The ideal candidate is highly organized, customer-focused, and eager to learn transportation and logistics operations.

Primary Job Responsibilities

• Serve as the first point of contact for drivers requiring basic operational support and troubleshooting assistance.
• Escalate equipment, safety, service, or operational issues to the appropriate Dispatcher or Terminal Leadership team when necessary.
• Maintain accurate and timely load status updates within the Transportation Management System (TMS).
• Monitor equipment inventory, availability, and release status to ensure visibility for dispatch planning.
• Communicate dispatch plan updates, schedule changes, and load information to drivers.
• Provide load status updates to Customer Service, Scheduling, Planning, and other internal stakeholders.
• Compile and distribute operational reports and performance metrics for management review.
• Assist in tracking service performance, load completion, and operational exceptions.
• Support dispatchers in managing daily fleet activity and workload prioritization.
• Promote and reinforce current company safety initiatives and safety topics with drivers and team members.
• Maintain professional communication with drivers, customers, vendors, and internal departments.
• Support terminal operations and perform additional duties as assigned.

Requirements: Knowledge, Skills, and Abilities

• High School Diploma or GED required.
• Minimum of one (1) year of work experience in a customer-facing, service-oriented, or logistics environment.
• Strong verbal and written communication skills.
• Ability to multitask and stay organized in a fast-paced environment.
• Basic computer proficiency, including Microsoft Office applications.
• Strong attention to detail and problem-solving skills.
• Experience in customer service, hospitality, retail, transportation, logistics, or operations.
