Job summary

The Aspen Institute Financial Security Program is seeking a Finance and Operations Associate based at its Washington, DC headquarters. You will support a broad range of financial, administrative, and operational tasks to advance FSP priorities, collaborating across teams and systems.

Ideal candidates have 1–3 years in nonprofit operations or finance, a related Bachelor’s degree, and strong organizational and communication skills.

Qualifications

  • 1–3 years of relevant professional experience in nonprofit operations, administration, or finance.
  • Bachelor's degree in a related field or an equivalent combination of education and relevant work experience.
  • Excellent organizational skills with exceptional attention to detail and the ability to manage multiple tasks, priorities, and deadlines in a fast-paced environment.
  • Strong written, verbal, and interpersonal communication skills, with the ability to work effectively with cross-departmental colleagues.
  • Proficiency in Google Workspace and Microsoft Office.
  • Demonstrated comfort with data and spreadsheets to organize and manage information; experience working with financial data a plus.
  • Solid analytical and problem-solving skills, with the ability to identify issues, think through solutions, and follow tasks through to completion.
  • Reliable time management skills, with a demonstrated ability to meet deadlines, manage competing priorities, and proactively ask questions or seek clarification when needed.

Responsibilities

  • Support financial operations, including accounts payable processes and vendor records.
  • Support accounts receivable processes and revenue management tasks.
  • Track expenses and assist with budget reconciliation and forecasting.
  • Maintain financial data entry in internal tracking tools and accounting systems.
  • Assist with budget creation and quarterly forecasting and reporting processes.
  • Assist with financial closeout procedures.
  • Coordinate office operations and workplace logistics at the Washington, DC office.
  • Provide meeting and administrative support, including light calendar coordination for FSP leadership.
  • Maintain documentation of policies, procedures, and internal resources.
  • Maintain digital filing systems and organize contracts and templates for easy access.
  • Support project management tools and other technology platforms used by the program.
  • Assist with process improvements to increase efficiency and day-to-day operations.
  • Grant support: drafting documents, tracking expenditures, and managing grant-related CRM updates.
  • Maintain fundraising and CRM records, ensuring data accuracy across pipelines.
