Job Summary
As a File Support Coordinator at Medefy Health, you will support the ongoing stability, accuracy, and reliability of file-based data integrations across internal teams and external partners. This role plays a critical part in maintaining seamless data exchange for existing and renewing clients by coordinating implementation and post-implementation support, change management, and issue resolution related to client and trading partner file feeds.

The File Support Coordinator is comfortable interfacing with clients and trading partners, gathering and interpreting file specifications, validating test files, and managing changes that impact production data flows.

Qualifications
Job Duties & Responsibilities
Data Intake, Validation, and Quality Control
- Coordinate incoming data requests and files from internal teams and external partners (e.g., HR teams, brokers, vendor partners).
- Validate data for completeness, formatting, and accuracy (e.g., member eligibility, demographic fields, plan details).
- Identify missing data, inconsistencies, duplicates, or anomalies and route issues to the correct stakeholders.
Data Operations Support
- Assist in monitoring data pipelines and outbound deliverables (reports, files, dashboards, or integrations).
- Help maintain recurring data schedules (weekly/monthly client feeds, implementation milestones, reporting deadlines).
- Track data-related issues, troubleshoot initial findings, and elevate appropriately with documentation to Data Engineers.
Documentation & Process Improvement
- Maintain organized documentation for common data workflows, definitions, and partner-specific requirements.
- Contribute to standard operating procedures and best practices related to data handling and quality.
- Recommend improvements to reduce manual effort, minimize errors, and improve turnaround time.
Cross-Functional Coordination
- Act as a key point of communication between Trading Partners, Data Engineering, Client Success, Implementation, Operations Support, and Clients.
- Provide clear updates on status, data readiness, blockers, and expected completion timelines.
- Support internal reporting needs by coordinating data refreshes and validating outputs for accuracy.
Reporting & Visibility
- Support and provide input in the creation and maintenance of dashboards and reports using tools like Power BI or Excel.
- Ensure reporting inputs and outputs match agreed business rules and definitions.
- Assist in identifying basic trends or common issues impacting data reliability.
Other Duties

You Must Have At Least The Following
- Bachelor’s degree in business, information systems, analytics, computer science, healthcare administration, or a related field (or equivalent experience).
- 2+ years of experience in a role involving data coordination, reporting support, operations, implementation support, or customer-facing data work in a fast-paced environment.
- Strong attention to detail and a commitment to accurate data handling.
- Ability to manage multiple priorities and deadlines with a high level of accountability.
- Strong communication skills — able to translate technical or data issues into clear, actionable updates.
- Ability to work collaboratively across multiple departments.
- Comfort working with ambiguity and shifting priorities in a growth-stage SaaS company.
- Intermediate Excel skills (filters, pivot tables, lookups, and organizing data sets).
It would be great if you also have the following
- Familiarity with SQL (writing or modifying basic queries).
- Experience supporting data integrations and file-based data transfers (CSV, SFTP, API-based workflows).
- Exposure to BI tools (Power BI, Tableau, Looker) or analytics platforms.
- Familiarity with ticketing/documentation tools (Zendesk, Jira, Confluence, Notion, or similar).
- Experience with CRMs or marketing systems (HubSpot, Salesforce).
- Familiarity with healthcare data concepts and sensitivity around HIPAA/PHI.
- Basic understanding of data governance concepts (validation rules, audit trails, field mapping).
