KidsQuest Children’s Museum in Bellevue, WA seeks a Field Trip and Outreach Coordinator to connect hands-on learning experiences with children, families, schools, and partners. You will coordinate off-site programs, manage calendars, support grant-based field trips, and nurture community partnerships.

The role supports the Director of Education and Visitor Services to ensure engaging, process-oriented experiences in line with KQCM’s educational philosophy.

Qualifications

  • Ability to communicate effectively with a wide variety of individuals including teens, children, parents, and people of all ages with special needs
  • Comfortable leading children birth to ten years old and adults in hands-on experiences with various materials
  • Experience navigating multiple calendars and schedules with initiative, creativity, and accuracy
  • Proficiency in Microsoft Office Suite
  • Detail oriented, able to work with ambiguity, and highly reliable
  • Ability to maintain a valid driver's license and transport yourself and supplies to off-site events

Responsibilities

  • Facilitate all aspects of program participation including sales, confirmations, bookings, correspondence, billing, and decisions on exceptions
  • Schedule up to five educators using three vehicles via the master calendar
  • Manage resources, time for preparations, travel, and instruction for outreach programming
  • Coordinate outreach event bookings and communications with education staff
  • Maintain databases and produce reports
  • Manage registration for all onsite Field Trips and enter Field Trips into booking software
  • Update Field Trip Forecast on the website and coordinate with visitor services for check-in

Job description

KidsQuest Children’s Museum is seeking a Field Trip and Outreach Coordinator to help us bring our playful, hands-on learning experiences to children, families, schools, and community partners. This role keeps the moving pieces connected: coordinating off-site programs, on-site museum reservations, managing multiple calendars, supporting grant-based field trips, and nurturing community partnerships. With strong customer service, organization, and time management skills, this role will successfully administer outreach events and field trips to feel welcoming and seamless for all involved. This position works with the Director of Education, and in partnership with our Visitor Services leadership, to ensure that KQCM’s educational philosophy is being upheld through engaging, process-oriented, and creative participant experiences. The Coordinator will bring enthusiasm for working with families and children to daily operations, stepping in to deliver museum programming and visitor services as needed.

Position Reports To:Director of Education & Exhibits

Pay Rate:$27-$30 per hour

Work Week:38 hours per week, Tuesday–Saturday; Hybrid – 2-3 days in office; Days required in office will fluctuate based on the school year and summer break

RESPONSIBILITIES AND DUTIES
RESERVATION MANAGEMENT
  • Facilitate all aspects of program participation including sales, confirmations, bookings, correspondence, billing, and making executive decisions regarding exceptions and requests.
  • Communicate via phone, email, and in person in a timely and professional manner.
    Using the organization’s master calendar, schedule up to five educators using three vehicles.
  • Successfully account for resource availability in addition to allocating time for preparations, travel, and instruction for all outreach programming.
  • Communicate all outreach event bookings and arrangements with education staff
  • Assist with database maintenance, including accurate data entry and producing reports.
  • Manage registration for all onsite Field Trips. Enter museum Field Trips into booking software.
  • Update website weekly with Field Trip Forecast. Coordinate with visitor services and front desk to ensure successful check-in for program participants.
INSTRUCTION
  • Deliver (on-call and when needed basis) outreach and onsite programs utilizing our Field Trip curriculum including instructing classrooms, science fairs, libraries, and public events.
  • Facilitate activities at education and development events.
VISITOR EXPERIENCE
  • Interact with visitors and react positively in a fast-paced environment.
  • Work alongside educators and visitor experience staff to keep spaces functional and inviting; fill in as visitor service Supervisor when needed.
  • Implementation of art, science, early learning, and other programs as needed including but not limited to leading field trips and museum gallery enhancement activities.
  • Model exceptional educational approaches and train visitor experience staff and volunteers.
  • Perform other related duties as assigned
EXPERIENCE AND QUALIFICATIONS
REQUIRED

PREFERRED
  • Bachelor’s degree in education or experience equivalent in related field
  • Exposure to reservation systems
  • Experience educating children in classrooms or other informal learning environments
  • Friendly, outgoing, and enthusiastic demeanor
To serve the best interest of museum patrons, for this role, KQCM will:

Conduct a criminal background check on all prospective employees.
Require proof of immunizations (TdaP, MMR, and Varicella) within thirty days of employment
Require certification in Adult, Child and Infant CPR, First Aid, and AED within the first 6 months of employment
